Full Job Description Tutor Specialist:

Role Description and Scope of WorkAbout JAM JAM Teaching and Consulting is a Chicago-based educational consulting and tutoring practice serving students from preschool through high school across Chicago and the North Shore. We offer tutoring, IEP and 504 advocacy, school placement consulting, parent coaching, and professional development for schools. Our work is child-centered, relationship-first, and holistic, with a particular focus on neurodivergent learners and families navigating complex school systems. About the role The Tutor Specialist owns the tutor side of JAM Teaching and Consulting and manages the full tutor pipeline: sourcing, interviewing, onboarding, pairing setup and follow-through, session notes upkeep, and tutor maintenance. The role keeps our bench of tutors full, well vetted, and matched to the families who need them, with a current focus on structured-literacy tutors in Chicago and the North Shore. This is a full-time employee role reporting to Julia Mahowald, Founder and CEO. The scope below describes the responsibilities and deliverables for the Tutor Specialist role.

$60,000 to $75,000 annually, depending on experience and background

Room to grow within JAM for the right person in this seat Why this role matters Families come to JAM when their child needs real support, and that support depends on matching them with the right tutor. Right now, our biggest constraint is the supply of strong structured-literacy tutors in Chicago and the North Shore. This role is how we close that gap. Scope of work These are the standing tasks that keep the tutor pipeline moving between individual workflows.

Cadence Deliverables Daily Outreach:

source and contact potential candidates, send follow-ups, and log all activity on the outreach list. This work is independently led. We need a self starter who is comfortable with cold outreach and can use knowledge of the education system to vet and procure appropriate candidates for tutoring. Reply to the tutor and candidate email inbox. Schedule and conduct interviews, and manage intake forms, reference calls, paperwork, and background checks. Complete any HubSpot tasks for paused tutors due to be contacted. Follow through on active pairings and flag any that aren't working. Weekly Update session notes. Update the tutor log with any notes and status changes (for example, Zero Client History to Active after a first pairing). Complete action items from the weekly L10 team meeting. Monthly Organize and maintain current tutor data on the invoice sheet.

Ongoing Track activity data:

who was contacted, interviewed, and onboarded, by specialty and geographic area. Annual Run beginning of year tutor check ins and update tutor bios where certifications, specialties, or age ranges have changed. Workflows and deliverables Finding tutors Interviewing and recommending candidates Onboarding approved candidates Setting up and following through on pairings Updating and maintaining tutor data Session notes upkeep Confidentiality The Specialist will handle sensitive information about tutors, candidates, families, and students, including background checks, references, and student information. All of it is kept confidential and shared only with the JAM team as needed for the work. Requirements and qualifications Afternoon and evening availability for interviews, since most tutor candidates are in the classroom during the day Proactive and comfortable making cold calls and finding tutor leads Self starter and problem solver, comfortable working independently Strong communication skills with tutors, candidates, references, and the JAM team Strong organization skills, with many candidates and pairings moving at once; keeps to 2 to 3 day follow-up intervals without reminders Sound judgment on what to flag: reference concerns, pairings that aren't working, tutors going quiet Education related and sales experience, with enough classroom or intervention background to screen tutors credibly Working knowledge of structured literacy, executive functioning, and social emotional learning, so interviews can assess candidates appropriately Comfortable running interviews, holding a rate conversation, calling references, and making a clear recommendation Comfortable in HubSpot, PandaDoc, Google Workspace (Sheets, Forms, Drive), Zoom, Fathom, and Canva, or able to learn them quickly Familiarity with Chicago and North Shore schools, colleges, and education networks is a plus How to apply To apply, email your resume and cover letter to with the subject line "Tutor Specialist Role Interest" followed by your name.
