Job Description

We are a growing heavy-duty diesel repair company looking for an experienced, organized, and motivated Service Advisor / Operations Coordinator to help manage the daily flow of our shop and mobile service operation. This is more than a traditional service advisor position. We need someone who can keep jobs moving, communicate with guests and technicians, coordinate parts and scheduling, and help ensure work is completed efficiently and invoiced promptly. The right person is comfortable in a fast-paced repair environment, takes ownership, communicates well, and understands that excellent guest service and efficient shop operations go hand in hand. What You'll Be Responsible For Guest & Service Advising Serve as a primary point of contact for guests from the initial call through completion of repairs. Gather accurate information regarding equipment concerns and service needs. Create and maintain accurate repair orders and work orders. Prepare estimates and obtain guest authorization before additional work is performed. Provide guests with professional and timely updates on repair status, cost, and estimated completion. Explain recommended repairs in a clear, professional manner. Follow up with guests when necessary and help build long-term guest relationships. Shop & Field Operations Coordinate the daily workflow for technicians, apprentices, and mobile service units. Help prioritize jobs based on guest needs, technician availability, parts availability, and promised completion dates. Keep technicians productive by making sure information, approvals, parts, and resources are available when needed. Monitor open repair orders and identify jobs that are stalled or waiting on decisions. Coordinate shop work with field and mobile service calls. Assist with scheduling emergency repairs and breakdown calls. Communicate changing priorities clearly to technicians and guests. Parts & Vendor Coordination Work with Parts Specialist and Technicians to obtain required parts Repair Order & Billing Management Review technician notes, labor time, parts, and outside services before invoicing. Make sure repair documentation is complete and professional. Verify that all billable labor and materials are captured. Move completed jobs to invoicing quickly. Assist with warranty documentation and fleet or guest purchase-order requirements. Help reduce unfinished repair orders and work waiting to be billed. What We're Looking For Heavy-duty diesel or commercial equipment repair experience is strongly preferred. Experience as a service advisor, service writer, shop coordinator, dispatcher, assistant service manager, or service manager is especially valuable.

The ideal candidate will have:

Knowledge of heavy-duty trucks, diesel equipment, construction equipment, agricultural equipment, or similar machinery. Strong guest-service and communication skills. Excellent organization and follow-through. Ability to manage multiple repair orders and priorities simultaneously. Experience scheduling technicians and coordinating workflow. Basic understanding of labor times, parts pricing, estimates, and repair-order profitability. Strong computer skills and the ability to learn shop-management software. Ability to communicate effectively with both technicians and guests. Confidence making decisions and solving problems without needing constant direction. A strong sense of urgency while maintaining accuracy. Dependability, professionalism, and accountability. What Success Looks Like Keep technicians productive and jobs moving. Improve communication between the office, technicians, and guests. Reduce downtime caused by missing parts, approvals, or information. Get estimates approved faster. Complete and invoice repair orders promptly. Improve scheduling for both shop and mobile repairs. Maintain strong guest relationships. Increase overall shop efficiency and profitability.
