Estimating & Quotations Review mechanical plans, equipment schedules, specifications, and contractor requests to determine project requirements. Perform equipment and material takeoffs for residential and commercial HVAC projects. Select appropriate HVAC equipment based on project requirements and specifications. Identify the parts, accessories, controls, and other materials required to provide a complete HVAC package. Obtain equipment, material, and special-project pricing from manufacturers and vendors. Prepare accurate, detailed, and competitive quotations for HVAC contractors. Review quotations for completeness and accuracy before submission. Prepare quote revisions and alternate equipment selections as project requirements change. Maintain organized records of quotations, pricing, project documents, and correspondence. Contractor Follow-Up & Sales Support Proactively follow up with contractors on outstanding quotations. Track bid dates, project status, quote revisions, and follow-up activity. Communicate with contractors to understand project needs, answer questions, and clarify equipment selections. Work to identify the status of quoted projects and whether projects have been awarded. Assist contractors with revisions, substitutions, alternates, and value-engineering opportunities when appropriate. Build strong working relationships with contractors through responsive and knowledgeable service. Work with the sales team to help convert quotations into orders. Maintain visibility on won, lost, and pending opportunities. Project Management & Order Fulfillment Once a quoted project is awarded, the HVAC Quotations & Project Specialist will continue to manage the project through completion. Confirm final equipment selections, quantities, accessories, pricing, and project requirements prior to ordering. Prepare and coordinate equipment submittals and other required project documentation. Communicate with contractors regarding submittal approvals, revisions, and project schedules. Place and manage equipment and material orders with manufacturers and vendors. Verify order acknowledgments for accuracy. Monitor equipment availability, lead times, and expected ship dates. Coordinate with vendors, contractors, warehouse personnel, and internal teams regarding project schedules and deliveries. Communicate delays, changes, or potential issues proactively. Coordinate equipment and material deliveries to ensure projects receive the correct products at the appropriate time. Manage project changes, additions, and related quotation revisions as needed. Maintain accurate project records from initial quotation through final delivery.
