Accounting & Administrative Coordinator Integrity Financial Associates - 2.5 Longmont, CO Job Details Full-time $30 - $33 an hour 1 day ago Benefits Paid training Paid time off Flexible schedule Retirement plan Qualifications Calendar management QuickBooks Business Time management Full Job Description Integrity Financial Associates is seeking a dependable, detail-oriented, and highly organized Accounting & Administrative Coordinator to handle the day-to-day accounting and administrative functions of our company. This is a hands-on position with significant responsibility. The Accounting & Administrative Coordinator will maintain accurate financial records, process payroll, reconcile accounts, prepare reports, coordinate required filings, process payments and deposits, and help ensure the administrative and technology needs of the office are handled efficiently. This position does not supervise employees. We are looking for someone who can work independently, take ownership of important responsibilities, meet deadlines, identify discrepancies, and follow through to ensure tasks are completed accurately. Primary Responsibilities Accounting & Bookkeeping Maintain accurate and up-to-date company books and financial records Record and properly categorize income and expenses Reconcile bank accounts, credit cards, merchant accounts, and other financial accounts Manage accounts payable and maintain vendor records Monitor accounts receivable and client payments Process and accurately record client payments Prepare and make company bank deposits Maintain documentation for financial transactions Research and resolve account discrepancies Assist leadership with cash-flow tracking, budgeting, and expense monitoring Payroll & Reporting Process company payroll accurately and on schedule Maintain payroll and compensation records Coordinate payroll tax reporting and required filings Prepare regular financial and operational reports for company leadership Assist with month-end and year-end financial processes Maintain organized records for tax preparation and other required reporting Coordinate with the company's CPA, payroll providers, banks, and other outside professionals Track important financial and regulatory deadlines and help ensure required filings are completed on time Administrative Responsibilities Maintain organized company financial and administrative records Order office supplies and coordinate routine office needs Communicate with vendors and service providers Assist with employee onboarding and offboarding from company systems Maintain recurring administrative schedules, records, and deadlines Handle confidential company, employee, and client information with discretion Provide general administrative support to company leadership as needed Technology & Office Systems Assist employees with basic computer and software issues Coordinate employee access to company computers, email, software, and other systems Troubleshoot basic technology issues Coordinate more complex issues with outside IT providers Help maintain organized and secure company technology systems and user access Learn and work comfortably across multiple software platforms Qualifications Previous bookkeeping, accounting, financial administration, or similar experience Experience reconciling financial accounts and maintaining accurate books Payroll processing experience Strong computer skills and ability to learn new software quickly Proficiency with Microsoft Excel and general business software Strong attention to detail and accuracy Excellent organizational and time-management skills Ability to independently manage multiple responsibilities and recurring deadlines Strong problem-solving skills and willingness to research issues when necessary Ability to handle confidential financial, employee, and client information appropriately Strong written and verbal communication skills Dependable, professional, and accountable Preferred Experience QuickBooks or similar accounting software Payroll processing and payroll tax reporting Accounts payable and accounts receivable Bank and credit card reconciliations Financial reporting and month-end processes Working with CPAs and outside accounting professionals Small-business accounting or administration Microsoft Excel Basic office IT and technology troubleshooting An associate's or bachelor's degree in accounting, finance, business, or a related field is helpful, but relevant hands-on experience is more important to us than a specific degree. Who We're Looking For The ideal candidate is someone who enjoys keeping things organized, accurate, and on schedule. You notice when numbers don't look right, follow up when something is missing, and don't need to be reminded about recurring responsibilities. This position is well suited for an experienced bookkeeper or accounting professional who also enjoys the administrative and operational side of running a business.
