Job Description

Job Overview We are seeking a detail-oriented, hands-on Staff Accountant with a strong background in the construction industry to oversee our financial operations and manage daily transactional data input. In this role you will manage daily data entry in QuickBooks including specialized construction tasks like job costing and AIA billing and providing reporting necessary to guide company growth. This is an ideal position for an experienced construction accountant who enjoys rolling up their sleeves for daily bookkeeping and data entry driving financial decisions for a small business.
Key Responsibilities Daily Accounting, Data Input & Construction Workflows Job Costing & Data Entry:
Accurately enter, code, and allocate daily financial data (vendor invoices, subcontractor receipts, material costs, customer payments, and labor hours) to specific projects in QuickBooks to ensure accurate job costing.
AIA Progress Billing:
Prepare and manage monthly AIA progress billings (G702/G703 forms or equivalent), including schedule of values, retention tracking, and coordinating lien waivers.
Payroll:
Process weekly payroll, track prevailing wage hours, maintain accurate employee records, and accurately prepare and submit weekly certified payroll reports to meet compliance mandates.
HR Tracking:
Tracking HR data and maintaining accurate database records.
Payables & Receivables:
Manage daily Accounts Payable (AP) and Accounts Receivable (AR), including billing, collections, monitoring project budgets, processing vendor disbursements, and handling subcontractor compliance documents (e.g., certificates of insurance).
Reconciliations:
Perform daily and weekly bank and credit card feed reconciliations to ensure complete transaction accuracy.
Financial Management & Reporting Month-End Close:
Oversee the monthly, quarterly, and annual close processes, ensuring general ledger integrity.
Financial Reporting:
Utilize Microsoft Excel to generate and present project profitability reports, work-in-progress (WIP) schedules, profit-and-loss statements, balance sheets, and monthly cash-flow reports.
Variance Analysis:
Monitor actual project performance against budgets and original estimates, analyze cost variances, and report findings directly to leadership.
Budgeting & Forecasting:
Assist in developing the annual company budget and financial forecasts.
Tax Coordination:
Coordinate with external CPAs or tax preparers for year-end tax filings and compliance.
Process Improvement Internal Controls:
Maintain internal controls to safeguard company assets and ensure data accuracy.
Automation:
Identify and implement automated workflows or software improvements to streamline data entry and reporting efficiency.
Required Qualifications & Skills Education:
Associate's or Bachelor's degree in Accounting, Finance, or a related field (or equivalent professional experience).
Experience:
3+ years of progressive accounting experience specifically within the construction industry, with proven small-business experience handling both high-volume data entry/bookkeeping and general financial management.
Construction Knowledge:
Proven expertise in Job Costing, AIA Progress Billing, and processing Certified Payroll / Prevailing Wage reports.
Technical Skills:
Advanced proficiency in QuickBooks (specifically utilizing its job-costing features) and the Microsoft Office Suite / Google Sheets (expert-level Excel is required for WIP reporting). Attention to

Exceptional data-input accuracy with a rigorous commitment to maintaining clean, error-free project and financial ledgers.
Communication:
Strong verbal and written communication skills; ability to translate complex financial data into simple insights and confidently interface with project managers, subcontractors, clients, and ownership.
