Position Summary The Office & Accounting Administrato r is a key member of our team, responsible for supporting the daily operations of the office through a combination of administrative, accounting, and customer service responsibilities. This role serves as the administrative hub of the office, ensuring day-to-day operations run smoothly while providing exceptional support to employees, customers, vendors, and management. This position is ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in staying organized and helping others. While there are core responsibilities including Accounts Payable, payroll support, reception, and vendor administration, the successful candidate is dependable, takes ownership of their work, and is always willing to step in wherever needed.
Essential Responsibilities:
Office Administration Serve as the first point of contact for visitors and employees by providing professional and welcoming experience. Answer and direct incoming phone calls. Manage incoming and outgoing mail, deliveries, and correspondence. Maintain office supplies and coordinate office purchases. Assist with filing, record retention, and maintaining organized office records. Coordinate administrative projects and provide support to multiple departments. Assist with scheduling, meeting preparation, and general office needs. Perform general administrative duties and provide support wherever needed to ensure efficient office operations. Accounts Payable Process vendor invoices accurately and in a timely manner. Match invoices with purchase orders and supporting documentation. Prepare vendor payments and assist with payment processing. Reconcile vendor statements and resolve invoice discrepancies. Maintain accurate and up-to-date vendor records, including W-9s, Certificates of Insurance (COIs), and other required documentation. Ensure vendor files remain organized, complete, and compliant with company requirements. Maintain organized accounting records and supporting documentation. Payroll Support Assist with weekly payroll processing. Review employee time records and support documentation for accuracy. Process payroll-related paperwork, employee changes, and other payroll administrative tasks. Maintain confidential payroll records and employee information. Assist with payroll reporting and recordkeeping as needed. General Support Assist with employee paperwork and administrative forms. Support special projects and miscellaneous office initiatives. Cross-train in various administrative and accounting functions. Perform other duties as assigned in support of the office and team. Qualifications Minimum of 3 years of administrative, accounting, or office experience preferred. Experience with Accounts Payable is preferred. Payroll experience is a plus. Strong computer skills with the ability to quickly learn new software. Experience using accounting software is required; experience with construction accounting software is a plus. Proficiency with Microsoft Office, including Outlook, Word, and Excel. Excellent organizational and time management skills. Strong attention to detail and accuracy. Excellent communication and customer service skills. Ability to prioritize multiple responsibilities in a fast-paced environment. Ability to maintain confidentiality and handle sensitive information with professionalism. $25-$30 / Hour (Based on Experience)
