Position Overview A privately owned product design company is seeking a part-time Bookkeeper/Office Manager to take over the books: accounts payable, payroll, royalty administration, bank reconciliation, and the household and family bill payment that the office also handles. The ideal candidate will have at least five years of bookkeeping or office administrative experience, strong organizational skills, excellent attention to detail, and hands-on experience with QuickBooks. This is a hands-on role for someone who is comfortable working independently, managing multiple priorities, and supporting a small team. Key Responsibilities Accounting and payables Accounts payable and deposits in Intuit QuickBooks. All bill payment — business, household, and family — prepared for signature and processed on schedule. Monthly bank reconciliation across business, household, and family accounts. Produce monthly reports and maintain office forms. Work with the outside CPA on quarterly filings, year-end close, and associated tasks. Payroll Run payroll through Intuit Payroll Services. Maintain the payroll tax calendar — quarterly filings, year-end W-2s and 1099s, and workers' compensation reporting. Royalties Track incoming royalty statements against license agreements, verify amounts, record them, and follow up on late or missing payments. Accounts, insurance, and vendors Communicate and coordinate with outside vendors and service providers — including contracts, invoices, and payment.
Administer insurance policies:
home, auto, umbrella, and health. Renewals, claims, and premium payment. Place recurring and account-billed supply orders. Office Open and process financial mail — statements, invoices, tax notices, and royalty statements. Maintain records retention and the project archive Qualifications
- 5+ years of office management, administrative, bookkeeping, or related experience.
- Intermediate proficiency with QuickBooks, including experience with accounts payable, deposits, and reconciliations.
- Advanced proficiency in Microsoft Office, particularly Word, Excel, and Outlook.
