Full-Time Bookkeeper - Multi-Entity Operations We are seeking an experienced, highly organized Full-Time Bookkeeper to join our team in an onsite position . This individual will be responsible for the day-to-day bookkeeping and financial recordkeeping for three active operating businesses and may also provide bookkeeping support for three additional passive business entities . This is a hands-on role for someone who enjoys keeping financial operations organized, accurate, and on schedule. The Bookkeeper will work closely with company leadership, onsite management teams, and our outside accountant to ensure timely financial reporting, effective purchasing controls, and accurate financial records across multiple entities. Key Responsibilities Bookkeeping & Financial Management Maintain accurate and current books for three active operating businesses. Provide bookkeeping support, as needed, for up to three additional passive business entities. Properly record and categorize income, expenses, transfers, and other financial transactions. Maintain appropriate separation of transactions and financial records among business entities. Maintain organized supporting documentation for financial transactions. Monitor accounts payable and assist with timely payment and proper coding of invoices. Assist in maintaining accurate vendor records and financial documentation. Reconciliations & Accounting Support Work closely with the company's outside accountant to ensure books are accurate, complete, and maintained in accordance with established accounting practices. Assist the accountant with monthly bank, credit card, and account reconciliations . Research and resolve discrepancies identified during the reconciliation process. Prepare and organize documentation necessary for monthly and year-end accounting. Assist the accountant with the preparation and filing of sales tax reports and payments . Respond promptly to requests from the accountant for supporting documentation or financial information. Purchasing & Expense Management Work directly with onsite management teams to coordinate and manage company purchasing. Help ensure purchases are properly authorized, documented, coded, and assigned to the correct business and department. Monitor purchasing activity for adherence to established budgets and company policies. Identify unusual expenditures, duplicate charges, missing documentation, or potential budget concerns. Assist management with developing better purchasing and expense-control practices. Maintain appropriate vendor and purchasing records. Financial Reporting Prepare and provide monthly financial reports to the CEO for each active business. Provide clear reporting on revenue, expenses, budget performance, cash position, and significant variances. Identify financial trends, inconsistencies, or areas requiring management attention rather than simply reporting the numbers. Assist leadership with budget-to-actual reporting and expense tracking. Provide additional financial reports or supporting information as requested by the CEO. Qualifications The ideal candidate will have: Previous professional bookkeeping experience; multi-entity bookkeeping experience is strongly preferred. Strong understanding of basic accounting principles, including accounts payable, reconciliations, general ledger activity, and financial reporting. Experience working with an outside accountant or CPA. Experience assisting with sales tax reporting and documentation. Proficiency with QuickBooks . Strong Excel or spreadsheet skills. Exceptional attention to detail and organizational skills. Ability to manage multiple companies, bank accounts, vendors, and competing deadlines without losing accuracy. Ability to recognize discrepancies and investigate issues independently. Strong written and verbal communication skills. Ability to work collaboratively with both financial professionals and operational team members. High level of discretion when handling confidential financial and business information. Our Bookkeeper should ensure that:
Books are accurate and current each month. Accounts are reconciled promptly. Purchases are properly documented and assigned to the correct company and department. Leadership has reliable financial information available when making decisions. Budget concerns and unusual expenses are identified early rather than discovered after the fact. The outside accountant receives complete and organized information on schedule. Sales tax and other recurring financial requirements are completed accurately and on time. Financial records for each business remain clearly separated, organized, and audit-ready.

Pay:
$20.41 - $25.40 per hour Expected hours: 32.0 - 40.0 per week
