Full Job Description TITLE:
District Bookkeeper
QUALIFICATIONS
1. Degree in Accounting or Business preferred. 2. Experience or knowledge in public school accounting processes and procedures. 3. Competence in operation of computerized data and processing hardware and software. 4. Knowledge of Skyward (preferred), Microsoft Office programs, and Google programs. 5. Experience or knowledge of payroll practices and procedures. 6. Tactful and pleasant in dealing with staff, students, and community. 7. Collaborative with other district staff in gathering and input of data
REPORTS TO
Superintendent
JOB GOAL
To assist in the administration of the district's business affairs to provide the maximum service for the financial resources available.
PERFORMANCE RESPONSIBILITIES
Professionalism
  • Maintain a pleasant and courteous atmosphere in the office in dealing with the public, employees, and students.
  • Appropriately answer daily questions from students, parents and staff as they arise.
  • Handles all confidential information with proper discretion.
  • Supports and implements the goals of the Board of Education.
  • Other duties as assigned by the Superintendent. Financial Management
  • Responsible for keeping district accounting records.
  • Assists with administering grants with budget preparation and timely spending of all grant monies.
  • Assists auditors during the annual district audit.
  • Prepares annual financial report for publication in newspaper, as needed.
  • Assists the Superintendent in preparing the annual budget.
  • Completes other financial information and reports for the Transportation Report, Special Education Report, Food Service Report, Title I, and Title II Reports. All reports should be filed with the appropriate agency before their due dates.
  • Responsible for keeping all district payroll records, posts time sheets, prepares and processes payroll.
  • Prepare W-2's at the end of the year.
  • Works with retiring employees to prepare and file all required forms.
  • Responsible for keeping records of employees' leaves of absence.
  • Responsible for acting as the district's HIPAA compliance officer.
  • Maintains documentation relating to the district's health insurance policy.
  • As bookkeeper, employee must be bonded and has ultimate responsibility for funds.
  • Receives and deposits all state and federal monies.
  • Receives and deposits all tax monies.
  • Performs basic payroll and accounting type tasks as required, including gathering and depositing funds.
  • Responsible for maintaining confidential personnel files on all certificated and non-certificated employees
  • Summarizes and balances entries recorded in individual journals and ledgers, and transfers data to general ledgers or the appropriate financial software.
  • Prepares expenditure and revenue reports to reflect the financial condition of the district.
  • Reconciles and records financial reports through the adjustments made to correct charges or credits posted to incorrect amounts.
  • Prepares reports and checks for proper agencies covering all deductions.
  • Prepares tax forms relating to payroll matters.
  • Serves as a resource person to all employees in matters relating to payroll, deductions, and insurance.
  • As bookkeeper, employee must be bonded and has ultimate responsibility for funds.
  • Figures and prepares materials for investments, as needed.
  • Other duties as assigned by the Superintendent. Clerical
  • Provide clerical and office support for the superintendent.
  • Prepares and types all communications as directed by the superintendent.
  • Prepares and verifies report forms, requisitions, monthly statements, etc., as directed by the superintendent.
  • Obtains and organizes pertinent data, as needed, and puts into usable formats.
  • Submit all required documents and reports to the State.
  • Assists in the preparation of employee contracts and maintains files of the same.
  • Other duties as assigned by the Superintendent. Communication
  • Welcome visitors, determine their needs, and screen callers in accordance with predetermined procedures.
  • Responds appropriately to requests for information.
  • Places and receives phone calls, records messages, and routes calls/information to staff.
  • Other duties as assigned by the Superintendent.
Terms of Employment :
Twelve-months/260 days, as determined by the Superintendent. $26 per hour, with future increases to be determined by the Board of Education on an annual basis. District-paid IMRF. $650/month paid toward health insurance coverage. 10 sick Days and 2 Personal Days per year. 2 weeks of vacation after first year of employment.
Evaluation :
Performance of this job will be evaluated by the Superintendent.
