Job Summary The Facilities Manager is responsible for overseeing the daily management, maintenance, and upkeep of all company-owned or leased properties and surrounding grounds across Newport Industries locations. This role ensures that all buildings, parking lots, exterior spaces, and facility systems are maintained in a safe, clean, functional, and professional manner. Responsibilities include coordinating and overseeing all maintenance work, vendor management, preventive maintenance programs, landscaping, snow removal, plumbing, electrical, HVAC, and general property operations. The Facilities Manager serves as the primary point of contact for all facility-related operations and works closely with leadership, employees, contractors, and vendors to ensure efficient and cost-effective property management.
Required Knowledge, Skills & Training:
High School diploma or GED. Associate's degree in Accounting, Finance, Business Administration, or equivalent combination of education and experience. Basic understanding of GAAP and accounting principles. Strong attention to detail and organizational skills. Ability to manage routine tasks and meet deadlines. Proficiency with Microsoft Excel and basic Microsoft Office applications. Ability to learn accounting software and construction accounting systems. Strong communication skills and ability to work effectively in a team environment. Foundational computer skills, including Microsoft Office Suite and the Internet. Ability to navigate at a basic level within web-based applications. Use of Outlook email and calendaring.
Essential Job Functions:
General Accounting-40% Data entry of vendor invoices into the accounting system. Research and resolve invoice discrepancies with the Purchasing Department and vendors. Perform proper coding of expense invoices and expense reports. Send tax exemption certificates to vendors as needed. Post General Journals and Cash Transaction Journals daily. Download utility bills for entry. Perform Accounts Payable check runs according to the company schedule. Review vendor statements and resolve discrepancies as needed. Assist the department with month-end close activities and other accounting duties within the scope of the department. Enter cash receipts and resolve discrepancies as needed. Construction Accounting & Job Cost Support-30% Enter and maintain job cost records and proper cost coding. Track project billings, retainage, and change orders. Support WIP reporting and percentage-of-completion calculations. Communicate with project managers and filed staff to obtain required financial information.
AP & AR-20
% Process vendor invoices, ensuring proper coding to jobs, cost codes, and phases. Assist with customer invoicing, including progress billings and service billing. Support accounts receivable tracking and collections follow-up. Assist with lien waivers and compliance documentation. Compliance & Administrative Support-5% Maintain organized financial records, both electronic and physical. Support audits, tax filings, and internal reviews. Assist with compliance related to prevailing wage, certified payroll, and union reporting (if applicable). Follow internal controls and company accounting policies. Collaboration & Development-5% Work closely with senior accounting staff to learn construction accounting practices. Participate in process improvement initiatives. Develop understanding of project financials and company operations. Take on additional responsibilities as skills and experience grow. Other Duties Attend staff, departmental, and other required meetings and training. Travel to client or prospect locations, conference, or other professional development and networking events. Other duties as assigned. Pay:
