Job Description

We are looking for an Accounting and Payroll Specialist with previous ADP Workforce Cloud Payroll experience required. Other duties include assisting with Accounts Payable and other accounting functions within the accounting department. This position is a Monday through Friday ( in person) work week. This is not a remote position. Essential Functions
  • Use ADP Workforce Now as the primary system for payroll processing, time and attendance review, employee payroll changes, reporting, and payroll record maintenance.
  • Collect, review, and enter payroll information accurately and within established payroll deadlines.
  • Review timecards and attendance records for completeness and accuracy; identify discrepancies and obtain required corrections or approvals before payroll is finalized.
  • Process authorized payroll changes, including new hires, terminations, pay-rate changes, deductions, direct-deposit updates, tax elections, and other approved adjustments.
  • Review payroll registers, audit reports, and related payroll information for accuracy and promptly communicate discrepancies to the Chief Financial Officer.
  • Assist with payroll reconciliations, benefit and deduction reconciliation, General Ledger entries, payroll-related reporting, and preparation of supporting documentation.
  • Maintain accurate, organized, and confidential payroll records and supporting documentation in accordance with agency procedures and record-retention requirements.
  • Respond to routine employee payroll and ADP Workforce Now questions and provide basic assistance with employee self-service functions; refer policy, tax, benefit, or complex payroll matters to the appropriate staff member.
  • Assist with accounts payable functions, including invoice processing, documentation, data entry, payment preparation, and maintenance of vendor records as assigned.
  • Assist with deposits, account documentation, and other routine accounting functions as assigned.
  • Cross-train in the agency medical billing process, including medical billing documentation, payment posting, follow-up on unpaid claims, and maintenance of billing records, in order to provide coverage when the Billing and Accounting Specialist is absent or when additional department support is needed.
  • Follow established department workflows, payroll schedules, internal controls, approval requirements, confidentiality standards, and data-security procedures.
  • Communicate questions, discrepancies, and concerns promptly to the Chief Financial Officer and collaborate with accounting and program staff as needed.
  • Perform other related duties as assigned. Qualifications
  • High school diploma or equivalent required; coursework or training in payroll, accounting, bookkeeping, business administration, or a related area preferred.
  • One to three years of payroll, accounting, bookkeeping, accounts payable, or related administrative experience preferred.
  • Experience with ADP Workforce Now strongly preferred; demonstrated ability to learn and effectively use payroll, timekeeping, accounting, and other financial software required.
  • Proficiency in Microsoft Office applications, particularly Excel and Outlook.
  • Strong attention to detail and demonstrated ability to work accurately with payroll and financial information.
  • Ability and willingness to cross-train in billing functions and provide reliable coverage when needed.
  • Effective verbal and written communication skills and ability to provide professional assistance to employees regarding routine payroll matters.
  • Ability to maintain confidentiality and appropriately handle sensitive employee, payroll, financial, and client information.
  • Strong organizational, problem-solving, and time-management skills with the ability to manage recurring deadlines and competing priorities.
  • Ability to work independently while also collaborating effectively as part of the accounting team.
