Part-Time or Full-Time | In-Person Position Overview Alloy Fabricators Inc. is seeking an organized, dependable, and proactive Bookkeeper/Administrative Assistant to support the accounting and administrative functions of our manufacturing company. This is a hands-on small-business role with responsibilities spanning bookkeeping, purchasing, inventory, ERP administration, shipping coordination, and general office support. The position will work closely with our Office Manager and company ownership while regularly communicating with vendors, employees, and occasionally customers regarding accounting and billing matters. We are flexible regarding prior experience and are willing to train the right person. However, we are looking for someone who can understand basic accounting principles and, over time, understand not just how our processes work, but why they are performed. The goal is for the Bookkeeper/Administrative Assistant to become knowledgeable and independent in their regular responsibilities rather than requiring continual direction once trained. Accounting & Bookkeeping Responsibilities Process accounts payable invoices and maintain accurate vendor records Prepare and process vendor payments with appropriate review and approval Assist with accounts receivable, invoicing, and customer account maintenance Communicate with customers regarding billing or account questions when necessary Assist with new customer setup and required documentation Maintain accurate records in QuickBooks Desktop Perform bank and account reconciliations Assist with monthly financial close procedures Prepare and assist with monthly financial reports Review accounting records for accuracy and investigate discrepancies Assist with payroll processing and related administrative tasks as assigned Maintain organized financial records and supporting documentation Purchasing & Vendor Management Handle day-to-day purchasing of company supplies, consumables, and operating needs Work with employees to understand what products or supplies are needed Research products and vendors to identify appropriate purchasing options Compare pricing, availability, shipping, and other relevant factors Make reasonable purchasing decisions within established company guidelines Obtain approval when required for unusual or significant purchases Create purchase orders within the ERP system Place orders and monitor order status Communicate with vendors regarding pricing, availability, invoices, discrepancies, and delivery dates Maintain accurate vendor and purchasing records Help identify alternate suppliers or products when appropriate Follow up on outstanding orders and resolve routine purchasing issues ERP & Administrative Support Perform routine transactions within the company's ERP system Create purchase orders and process receiving transactions Assist with customer, vendor, item, and order information Maintain accurate information across ERP and accounting systems Assist with customer order entry and administrative order-processing functions as needed Help identify and correct inaccurate or incomplete information Support improvements to office and administrative processes Inventory Assist with and help coordinate monthly inventory counts Enter or maintain inventory information as required Help reconcile physical inventory results with company records Investigate inventory discrepancies and assist with corrective action Maintain organized inventory documentation Shipping & Receiving Administration Locate customer and order information needed for shipments Prepare shipping labels and related documentation Verify customer shipping addresses and shipment information Schedule carrier pickups Maintain shipment records Communicate shipment information internally as needed Perform occasional light packaging, such as preparing or taping a small parcel This position is not expected to routinely load trucks or perform physical warehouse shipping duties General Administrative Responsibilities Maintain organized electronic and paper records Communicate professionally with vendors, customers, and coworkers Assist with general office functions as needed Follow up on open items and ensure tasks are completed Help keep routine accounting and administrative processes moving without unnecessary delays Identify problems and seek solutions rather than waiting for continual direction Qualifications We are open to candidates from a variety of backgrounds and experience levels. Previous experience is valuable, but we are also willing to invest in someone who demonstrates strong aptitude, reliability, and an understanding of accounting fundamentals.
Preferred qualifications include:
Education, coursework, or professional experience related to accounting, bookkeeping, business, or finance Understanding of basic accounting principles Experience with accounts payable, accounts receivable, bookkeeping, or general accounting Experience with QuickBooks Desktop or other accounting software Experience with ERP systems Experience with purchasing or vendor management Strong computer skills, including Microsoft Excel Manufacturing or small-business experience is helpful but not required What We Are Looking For The successful Bookkeeper/Administrative Assistant will be: Dependable with excellent attendance Punctual and able to maintain a consistent work schedule Organized and detail-oriented Proactive and willing to take ownership of responsibilities Comfortable researching problems and finding answers Able to follow established procedures while understanding the reasoning behind them Capable of learning from training and becoming increasingly independent Comfortable handling confidential financial and business information Professional when communicating with vendors and customers Willing to ask questions when appropriate while retaining and applying what they learn Comfortable working in a small-business environment where responsibilities may cross traditional departmental lines Schedule This position is available for 16-40 hours per week, Monday through Friday . This position will require 16 hours a week to complete AR/AP at a minimum level, but there is certainly opportunity for this to grow into a full time position as we shift our roles and responsibilities to make room for this new candidate. Our standard full-time schedule is 6:00 AM-2:30 PM . Scheduling for part-time candidates may be discussed based on the needs of the position and the candidate's availability. This is an in-person position at our Lodi, Ohio facility. Compensation $21.00-$27.00 per hour , depending on accounting knowledge, relevant experience, and the level of responsibility the candidate is prepared to assume. We are willing to consider both experienced candidates and less-experienced candidates who demonstrate strong accounting fundamentals, aptitude, organization, and the ability to grow into the position. About the Role This position is well suited for someone who enjoys variety and wants to understand how a small manufacturing business operates as a whole. The Bookkeeper/Administrative Assistant will have exposure to accounting, purchasing, inventory, ERP systems, vendors, customer billing, shipping administration, and other functions that support the daily operation of the company. We are looking for someone who can become a dependable resource within the office: someone who learns the processes, understands their purpose, takes responsibility for completing them accurately, and keeps the work moving.
Pay:
$19.00 - $27.00 per hour Expected hours: 16.0 - 40.0 per week
