This role combines front desk responsibilities with essential financial support, ensuring smooth office operations and excellent client communication. The ideal candidate will be a proactive multitasker with strong organizational skills, technical proficiency, and a passion for delivering outstanding customer service. This paid position offers an exciting opportunity to develop your administrative and financial skills within a collaborative environment.
QUALIFICATIONS
. English communication skills are mandatory, while Spanish language skills are valued.
  • A minimum of two (2) years of work experience in a related field, or an equivalent combination of experience and education.
  • Strong computer skills Microsoft Office, SharePoint and the ability to learn Agency self-directed software platforms.
  • Time management, ability to meet deadlines.
  • Strong organizational skills and ability to multitask.
  • Strong verbal & written communication skills with attention to detail
  • Demonstrated customer service skills with a professional demeanor and positive attitude
  • Knowledge of and ability to work with a diverse population of adults with varying disabilities.
  • Ability to treat confidential information with appropriate discretion.
JOB DUTIES
  • Work with Business Office Manager in Self-Direction with all aspects of the administration of clerical duties agency based and with the self-directed programs.
  • Greet visitors and clients warmly, managing front desk operations with professionalism and courtesy
  • Answer multi-line phone systems promptly, directing calls efficiently and maintaining excellent phone etiquette
  • Clerical duties include photocopying, faxing, scanning, filing and mailing.
  • Sort and disburse daily mail.
  • Keeping common areas organized, clean and stocked
  • Preparing deposits, including scanning, at location deposits, and reporting.
  • Preparing communications, such as letters, emails, and other correspondence
  • Filing, binding, maintaining current files, for payroll and payroll management. Creating electronic folders, Scanning, editing, renaming, and uploading PDF's to shared
  • file, and FMSE.
  • Opening bulk mailings, alpha mailings, verify information as needed (SUTA)
  • Assisting the Business Office Manager with creating and documenting policies and procedures
  • Communicate & Collaborate with Self-Directed Team members and outside sources, offering generalized support.
  • Independent decision making to best address the task at hand.
  • Biweekly order supply and receipt of supplies
  • Data entry into software systems
  • Contract analysis and spending plan reporting
  • Quarterly copayment and eligibility check for clients
  • Work with time sensitive projects
  • Additional duties as required.
