Job Overview The Wealth Management Client Service Assistant is responsible for providing overall administrative support for two primary Financial Advisors. WMA enhances the team by providing exceptional client communications, assisting in safeguarding client assets, and serving as the organizer in administrative and operational functions. Responsibilities include general office support, handling incoming phone calls, facilitating operational duties, and organizing client information. Duties and Responsibilities
Perform administrative duties including but not limited to, telephone coverage, copying/scanning/filing documents, initiating/updating client account information, running reports, preparing paperwork
Access and provide client's statements and year-end tax documents for advisors and clients.
Organize, maintain, and update digital database and contact files
Monitor and track communications among clients, broker-dealer, external partners, and advisors alike.
Prepare system-generated client reports in preparation for advisors' meetings
Update and maintain the data integrity of client information data base
Collect, gather, and update client information from firm's systems to complete client account applications
Pull client information from systems to complete client account applications
Navigate online software including broker dealer portal, 401(k) portal, and life insurance portals to conduct ad hoc projects for advisors. Qualifications Minimum of 2-5 years of work experience in a professional environment as an administrator, preferably within financial services industry
Proficiency in Microsoft Outlook and Word required
Foundational knowledge of securities and/or insurance industry
Requires excellent interpersonal and communication skills
Ability to maintain high standards despite pressing deadlines
Ability to handle highly sensitive, confidential and non-routine information
Ability to follow instructions with accuracy and precision
Demonstrates dependability and sense of urgency about getting results
Demonstrates high degree of integrity and confidentiality
Strong organizational skills and high attention to detail

Pay:
$23.00 - $30.00 per hour Expected hours: 40.0 per week
