Team Coordinator for Commercial Real Estate Brokerage Team The Team Coordinator for our Commercial Real Estate Brokerage Teams plays a critical role in supporting brokers, agents, and executives by managing administrative tasks, coordinating schedules, and ensuring smooth daily operations. This position requires excellent organizational skills, a high level of discretion, and the ability to handle multiple tasks in a fast-paced environment. The ideal candidate will have a strong background in administrative support, real estate knowledge (preferred), and the ability to anticipate the needs of a high-performing brokerage team.
Provide high-level administrative support to the brokerage team, including managing emails, phone calls, and correspondence. Prepare reports, presentations, and documents for client meetings, property showings, and transactions. Maintain and organize digital and physical files, ensuring easy access to key information. Handle confidential and sensitive information with professionalism and discretion. Assist in the preparation of contracts, agreements, and real estate documents.
Calendar & Schedule Management:
Manage the brokerage team's calendars, scheduling client meetings, property tours, and team meetings. Manage and prepare timelines for projects and transactions in team calendar and database. Ensure all deadlines, appointments, and commitments are met by sending reminders and adjusting schedules as needed.
Client Relations & Communication:
Serve as a secondary point of contact for clients, investors, and stakeholders in absence of brokers, ensuring a high level of customer service. Draft and proofread emails, reports, and proposals on behalf of the brokerage team. Assist with client follow-ups, inquiries, and general communication to maintain strong relationships. Coordinate with title companies, lenders, legal teams, and other professionals involved in transactions.
Business Development Support:
Assist with marketing efforts, including managing social media accounts and creating promotional materials for the team in coordination with inhouse Marketing Manager. Prepare and distribute marketing materials for property listings, including flyers, brochures, and email campaigns in coordination with inhouse Marketing Manger. Maintain and update CRM systems with client information, transaction details, and market insights. Assist in research and data collection for market reports, competitive analysis, and property comparisons.
Transaction & Deal Coordination:
Support brokers with transaction management, ensuring all documents are signed, filed, and submitted on time. Track deal progress and deadlines, coordinating with attorneys, escrow officers, and other parties involved. Ensure smooth closing processes by assisting with last-minute requests and document submissions. Monitor commission disbursement paperwork and assist with invoicing in coordination with inhouse Paralegal.
Operational & Personal Assistance:
Handle special projects, such as event planning, team outings, and client appreciation initiatives. Maintain team office organization and handle minor administrative duties including maintaining and updating digital filing systems, hard-copy files, if any, and team digital software programs. Ensure the brokerage team's daily workflow runs efficiently by anticipating needs and solving problems proactively.
Qualifications & Skills Education & Experience:
Bachelor's degree in Business Administration, Real Estate, or a related field (preferred but not required). 5+ years of experience as a Personal Assistant, Executive Assistant, or Administrative Assistant in a real estate or professional environment. Familiarity with commercial real estate transactions, leases, and industry terminology is a plus.
Key Competencies:
Highly organized with exceptional attention to detail. Strong written and verbal communication skills. Ability to prioritize tasks and manage multiple responsibilities simultaneously. Discretion and confidentiality when handling sensitive business and personal information. Tech-savvy with proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Google Suite, and CRM software. Self-starter with a proactive approach to problem-solving. Must be a resourceful team plater with ability to adapt to a changing work environment. Excellent customer service skills.
Preferred Qualifications:
Experience with marketing tools such as Canva, Adobe Suite, MyEmma, or MailChimp. Real estate license or background in commercial real estate (preferred but not required). Experience using property databases like CoStar and LoopNet.
Work Environment Work Schedule:
Full-time, Monday-Friday.
