Assign corrective actions, establish deadlines, and verify that deficiencies have been resolved. Provide leadership with clear reporting on compliance status, outstanding risks, and recommended actions. Establish clear escalation procedures and authority to place drivers or vehicles on hold when required qualifications or safety conditions are not met. Driver Qualification and Credential Management Maintain complete, accurate, secure qualification files for school bus drivers and other covered transportation personnel. Verify applicable license classifications, endorsements, certifications, medical qualifications, background checks, and training requirements before employees are approved for assignment. Track expiration dates and begin renewals early enough to prevent service interruptions. Coordinate required driving-record reviews and background screening with authorized personnel. Ensure dispatch and operations have an accurate list of drivers approved for each type of assignment. Maintain procedures for employees to report license restrictions, suspensions, relevant driving incidents, and changes affecting eligibility. Document qualification decisions, restrictions, corrective actions, and reinstatement approvals. Protect confidential employee information and limit access appropriately. Training and Employee Readiness Coordinate initial and recurring safety training for drivers, aides, supervisors, and dispatch personnel. Ensure training records clearly document attendance, content, completion, and any required evaluation. Oversee instruction on student loading and unloading, student accountability, emergency response, inspections, defensive driving, and professional conduct. Coordinate training on transportation for students with disabilities, mobility equipment, securement systems, and individualized rider instructions. Verify that personnel demonstrate required skills before independent assignment. Identify retraining needs through observations, complaints, incident reviews, and performance trends. Conduct or coordinate ride evaluations, safety observations, and coaching. Deliver training only within the director's qualifications and arrange appropriately qualified instructors where needed. Vehicle Safety and Inspection Compliance Work closely with maintenance and operations to maintain vehicle inspection and service readiness. Track required inspections, registration documents, repair records, and other applicable vehicle documentation. Audit pre-trip and post-trip inspection records for completion and follow-through. Ensure reported defects receive documented review and appropriate corrective action. Verify that vehicles with disqualifying conditions are withheld from service until properly cleared. Maintain an accurate record of vehicle status, restrictions, inspection deadlines, and supporting documentation. Confirm required safety equipment is present, serviceable, and checked through established procedures. Review maintenance and inspection trends to identify recurring risks. Verify that drivers and aides receive the information and training necessary to serve assigned students safely. Review procedures for mobility assistance, securement, behavior-related concerns, and emergency situations. Ensure student information is handled confidentially and shared only with authorized personnel. Review student safety concerns promptly and document corrective actions. Coordinate with district representatives when transportation instructions require clarification. Incident Response and Investigations Lead or coordinate the compliance and safety review of accidents, injuries, student incidents, complaints, and near misses. Ensure timely collection and preservation of reports, statements, video, photographs, and other relevant records. Identify contributing factors and recommend corrective actions. Coordinate required notifications and reporting with leadership, districts, insurers, and other appropriate parties. Track investigation findings through resolution. Establish retraining, observation, or other corrective measures when warranted. Review incident patterns and recommend changes to training, equipment, supervision, or procedures. Audits, Records, and District Requirements Maintain an organized system that allows authorized records to be retrieved promptly. Prepare for district reviews, inspections, insurance reviews, and applicable regulatory audits. Serve as a primary compliance contact for school districts and reviewing agencies. Respond accurately to requests for documentation. Track district-specific contractual requirements and verify completion. Maintain document retention practices and secure disposal procedures. Ensure operational records are accurate, consistent, and supported by evidence. Never approve, backdate, or represent an incomplete requirement as completed. Operational Accountability Partner with dispatch to prevent assignment of unqualified personnel or vehicles that are not cleared for service. Establish a clear process for communicating compliance holds and release approvals. Work with recruiting and onboarding staff to identify readiness gaps before proposed start dates. Conduct field observations and follow up on concerns involving inspections, student handling, distracted driving, or other unsafe conduct. Recommend appropriate performance action when employees repeatedly fail to meet requirements. Support new contract launches by verifying staffing, training, vehicle, and documentation readiness before service begins.
