POSITION SUMMARY
This position is responsible for coordinating and monitoring student compliance with clinical site requirements across multiple health programs. This role manages clinical clearance processes for student placements each academic year, ensuring all health, background, and site-specific requirements are completed accurately and submitted by established deadlines. This position serves as a primary liaison between academic programs, clinical affiliates, students, and internal departments, providing guidance, education, and problem resolution related to clinical compliance. This position plays a critical role in supporting maintaining regulatory compliance and facilitating successful clinical experiences. The specialist role provides an exceptional customer service experience to both internal and external customers throughout every interaction.

ESSENTIAL JOB FUNCTIONS
(Other duties may be assigned): (40%) Clinical Compliance and Clearance
Coordinate and manage student clinical compliance and clearance requirements for assigned academic programs and clinical sites.
Work through state agencies to send student information and receive background check reports.
Interpret background check results and use decision-making tools to determine further outreach to students and clinical site contacts.
Provide guidance to students and faculty regarding clinical compliance requirements, timelines, and required documentation.
Ensure all required health, background, and compliance documentation is complete, accurate, and submitted to clinical sites by established deadlines.
Serve as a primary point of contact for clinical sites regarding compliance documentation and clearance verification.
Review and communicate clinical site compliance requirements and policies to impacted programs and students.
Identify and troubleshoot routine clinical compliance issues, coordinate resolution with appropriate stakeholders, and escalate complex or non-routine concerns to program leadership in accordance with established procedures. (30%) Data Management and Record Maintenance
Maintain strict confidentiality of student and faculty health, background, and compliance records in accordance with HIPAA, FERPA, institutional policies, and clinical site requirements.
Track, monitor, and maintain student health, background, and compliance records.
Proactively follow up on missing, incomplete, or expiring documentation to maintain compliance.
Maintain accurate, organized, and audit-ready compliance records within designated data management systems.
Identify opportunities to improve efficiency, accuracy, and consistency within clinical compliance processes and communicate recommendations to appropriate stakeholders.
Ensure data integrity, confidentiality, and security in accordance with institutional policies and regulatory requirements. (20%) Communication and Collaboration
Clearly communicate compliance-related information, requirements, deadlines, and policy changes — including clinical updates — during program orientations, required meetings, and on a timely basis throughout the academic year.
Verify and document student clinical clearance to support accreditation and regulatory compliance requirements.
Collaborate with faculty, divisional staff, and divisional leaders to support compliance processes and timelines.
Maintain current contact information for clinical site compliance and placement contacts.
Work with divisional and student affairs staff to support the tracking and maintenance of clinical affiliation agreements, as appropriate.
Manage fluctuating workloads and competing deadlines during peak clinical placement periods while maintaining accuracy and compliance with accreditation, clinical site and program expectations. (10%) Other Duties
Serve as a back-up for other divisional staff, as needed.
Ensure training for staff coverage in times of absence.
Assist the Academic Systems Specialist with the institutional scheduling process and managing the college's course catalog.
EDUCATION AND EXPERIENCE
Associate degree from a regionally accredited college or university in a related discipline or Business Administration/Business-related field required.
Two to three years of relevant occupational experience required.
Experience working in a health organization preferred.
Experience working with culturally diverse populations is preferred.
