Job Summary Primary responsibility financial management of clinical trials in support of all clinical trial agreements (CTAs)/Sub Award grants Corrects errors in billing, invoices study accounts/sponsors as appropriate, and provides guidance to research stakeholders. Reviews clinical trial agreements/grant sub-awards, including analysis, review, and budgets to perform independent accounting and invoicing for clinical research. Responsible for maintenance of financial records, accurate and timely processing of clinical sponsored/grant charges routed and invoiced as appropriate to the protocol sponsor, grant, or other non-traditional third-party contract, invoice processing/billing management, account receivables, and monthly and annual reconciliations and financial reporting. Work is performed under general supervision in a team setting, with latitude for the use of initiative within departmental and policy guidelines. Key Responsibilities Handles or assists with administrative activities generally associated with the financial management of clinical trials in support of the research being conducted as well as the administrative departmental needs. Manages and provides oversight of the billing/financial program within the CTMS. Collaborates with the Office of Research, Scholarship, and Sponsored Programs, independently responsible to ensure required processing of payment and invoicing is accurate, per executed contract terms and timely for clinical trial agreements (CTAs)/Sub-Award grants for sponsored research protocols. Works as a liaison with external sponsor contacts. Utilizes and integrates data from multiple financial and clinical databases and software applications. Assists with the development and maintenance for classifying all protocol costs as routine care costs or research. Reviews incoming correspondence from the invoicing mailboxes and identifies items of special interest to management; handles routine correspondence and remittance, triaging to appropriate analysts for response. Loads contracts, budgets, and related documents into the clinical trials management system (CTMS). Performs ongoing financial management of all protocols, including timely and accurate invoice processing and billing and accounts payable to ensure complete and timely payment of expenses. Perform reconciliation of clinical trials/Sub-Award grants with 100% accuracy on a monthly basis. Prepare monthly and annual financial reports and reconciliations and other financial reports and documents as needed. Serves in a backup role as needed for similar duties in the Center for Clinical Research (non-oncology) at the Medical Director's discretion. Uses professional concepts to quickly resolve problems with limited and scope and complexity. Assumes responsibility for continuous learning as evidenced by participation in professional development opportunities. Other duties as assigned. Required Education/Experience Bachelor's degree in a health care or business-related field from an accredited university. Two (2) years' experience performing closely related duties in relevant specialty clinical research. May accept a combination of education and experience. Required Licenses / Certifications Successful completion of Clinical Research Coordinator Certification (Association of Clinical Research Professionals (ACRP) or Society of Clinical Research Professional (SoCRA)) recommended within two years of eligibility. Accompanying Knowledge, Skills, Abilities and Competencies Analytical and critical thinking skills with high attention to detail. Excellent organizational and verbal and written communication skills. Ability to multi-task and manage multiple assignments concurrently with independent dynamic assessment of priorities to meet goals and deadlines. Convincing propensity to deliver financial analysis and fiscal planning techniques in academic, healthcare, and research settings within a university environment. Knowledge of National Coverage Determination guidelines to determine whether a protocol meets the definition of a covered clinical trial. Ability to work effectively in a fast paced, team-based environment and establish positive working relationships with patients, research staff colleagues, and clinical staff. Proficient in computer applications, including Microsoft Suite, with hands-on experience in extracting data from medical records. Familiar with clinical research, how to read and decipher a protocol, pull out all clinical services into billing matrix and properly code as routine cost or research. Competence with medical terminology.
