Job Summary The Accounting Manager utilizes technical accounting expertise to provide Accounts Payable, Cash Management, General Ledger, Payroll, Budgeting, and Donation Processing support to Calvary. The accounting manager also will provide support to staff and church leadership in areas related to financial reporting and management as needed. Essential Functions - Accounts Payable & Cash Management Review invoices and check requisitions to verify supporting documentation, calculation accuracy, proper account coding, and required approvals before payment submission. Maintain accurate filing system of paperwork. Reconcile church credit card transactions and receipts, following up with staff to ensure proper documentation, accurate coding, and timely payment. Process weekly payments for approved invoices via check or online bill pay, ensuring accuracy. Reconcile monthly bank statements, researching and resolving discrepancies as needed. Monitor cash positions across church bank accounts and recommend transfers to maintain appropriate operating balances. Maintain designated cash accounts and prepare required tracking and reporting. Manage vendor setup and documentation, including W-9 collection and review, and coordinate annual 1099 preparation and filing. - General Ledger Prepare journal entries and reconcile balance sheet accounts to ensure accurate financial records. Prepare and provide accurate monthly financial statements, including balance sheet, income statement, and cash flow analysis. Attend monthly Stewardship Committee meetings; provide financial reports, document meeting minutes, and publish timely. Maintain supporting documentation for fixed assets and prepare annual depreciation entries - Payroll Bi-weekly payroll processing for hourly and salary staff. Experience with ADP a plus. Work interactively with HR. Review and coordinate the annual workers' compensation audit through ADP, ensuring payroll and employee classification information is accurate and complete. Manage EE Health Care Reimbursement policy. - Budgeting Assist with the annual budgeting process, including preparing budget worksheets and coordinating timelines with staff, the Personnel Committee, and Stewardship Committee Assist with preparation and presentation of the budget for the Annual Church Meeting. Maintain accurate budget information within the accounting software. Prepare and distribute monthly Budget vs. Actual reports to staff budget managers. Complete and submit the annual church survey through SBC Workspace as required. - Donation Processing Maintain strict confidentiality of donor giving information in accordance with Calvary's policies. Process and accurately record donations received through in-person services and electronic giving platforms. Ensure bank deposits are completed securely, accurately, and in a timely manner. Maintain accurate donor contribution records within the church management software. Process and track payments for church camps, mission trips, events, and other ministry activities, providing reports as needed. - Education & Experience Bachelor's degree in Accounting, Finance, Economics, Business Administration, or a related field required. CPA designation or other relevant accounting certification is a plus. Minimum of five years of general ledger accounting or comparable financial management experience required. Experience with nonprofit or church accounting is preferred. Proficiency with QuickBooks and Microsoft Excel required. Experience with ADP payroll/HR systems and Ramp expense management software is preferred. Experience with church management software, specifically Planning Center, is preferred. - Knowledge, Skills & Abilities Strong technical accounting knowledge and understanding of generally accepted accounting principles and practices. Strong organizational, analytical, and problem-solving skills with a high level of accuracy and attention to detail. Ability to manage multiple priorities, meet deadlines, and work effectively with interruptions. Ability to work independently while also contributing effectively as part of a team. Excellent written and verbal communication skills. Ability to communicate professionally and effectively with staff, volunteers, vendors, and others throughout Calvary. Ability to exercise sound judgment, discretion when handling financial matters. Ability to maintain strict confidentiality of donor, financial, employee, and other sensitive information. - Physical Requirements Ability to perform sedentary work involving extended periods of sitting and computer use. Ability to frequently use a computer, keyboard, telephone, and other standard office equipment. Ability to communicate effectively in person, telephone, and electronic communication.
