Job Description

Position Summary We are seeking a hands-on Finance & Administration Manager to manage the accounting, financial, human resources, and administrative functions of a growing marketing company with annual revenue of ~10M. $70-$82k. The Finance & Administration Manager will be responsible for the company's day-to-day accounting and financial operations, including accounts receivable, accounts payable, billing, collections, cash management, month-end close, and financial reporting, while also coordinating payroll, HR administration, and other business operations. This is an individual contributor position with no direct reports. The right person will be comfortable handling responsibilities personally while also working effectively with outside vendors, professional service providers, offshore resources, and company leadership. As a growing company, we don't expect every responsibility to fit neatly into a box. This role is ideal for someone who enjoys figuring things out, improving processes, and taking ownership of the functions necessary to keep a business running smoothly. Key Responsibilities Accounting & Financial Management Manage the company's accrual-based accounting and maintain accurate and timely financial records in QBO. Own the monthly and year-end close processes, including journal entries, accruals, account reconciliations, and supporting schedules. Prepare monthly financial statements and management reporting. Maintain the general ledger and ensure transactions are properly recorded and classified. Monitor cash flow and provide management with visibility into cash requirements and expected collections. Assist with annual budgeting, forecasting, and financial planning. Coordinate with outside accountants, tax professionals, banking partners, insurance providers, and other professional service providers. Maintain appropriate financial controls, processes, and documentation. Billing, Accounts Receivable & Collections Own the customer billing and accounts receivable process from invoice through collection. Ensure invoices are prepared accurately and issued timely. Monitor accounts receivable aging and proactively manage collections. Communicate directly with customers regarding billing questions, discrepancies, and past-due balances. Record and reconcile customer payments. Maintain accurate customer account information. Identify and implement opportunities to improve billing and collections processes. Accounts Payable & Cash Management Manage vendor invoices, approvals, payments, and accounts payable. Maintain vendor records and resolve billing or payment discrepancies. Manage routine banking and cash activity. Manage company credit card and employee expense processes. Ensure expenditures are properly approved, documented, coded, and recorded. Payroll & Human Resources Administration Coordinate payroll processing and ensure payroll information is complete, accurate, and submitted timely. Serve as the primary internal resource for routine employee HR and administrative questions. Coordinate employee onboarding and offboarding. Administer employee benefits and maintain personnel records and required documentation via HRIS platform, BambooHR. Coordinate with outside payroll, benefits, HR, insurance, and legal providers as needed. Support leadership with employee-related administrative matters. Maintain appropriate confidentiality regarding employee and company information. Contractors & Business Administration Coordinate administrative and financial matters related to the company's offshore contractor workforce. Maintain appropriate contractor documentation and coordinate invoicing and payments. Manage relationships with selected vendors and service providers. Assist with insurance, contracts, compliance, renewals, and other business administration. Maintain organized company records and documentation. Take ownership of administrative matters that do not naturally fall within another function. Process Improvement & Growth Evaluate existing accounting and administrative processes and recommend improvements. Identify opportunities to automate repetitive tasks and improve efficiency. Develop and document procedures that allow the company's infrastructure to scale as the business grows. Help determine when activities should be automated, outsourced, reassigned, or supported by additional resources. Assist leadership with special projects, analysis, and other business needs. Take on additional responsibilities as the organization grows and its needs evolve. Qualifications Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred. 5+ years of progressive accounting, finance, or business administration experience. Strong knowledge of accrual accounting and financial statement preparation. Demonstrated hands-on experience with month-end close, general ledger, accounts receivable, accounts payable, billing, and collections. Experience with payroll and HR administration strongly preferred. Strong Excel skills and proficiency with accounting and business software. Experience working with outsourced or offshore resources is a plus. Experience in a small or growing business environment strongly preferred. Must be able to pass a drug screening, including marijuana.
Pay:
$70,000.00 - $82,000.00 per year
