Job Description

Lanracorp is seeking an experienced Finance and Administrative Manager to join our team and take ownership of the day-to-day accounting and administrative functions of our growing company at our Brownstown, IL location. This position is being created as our longtime accountant prepares for retirement and will play an important role in transitioning and modernizing our internal accounting and administrative systems. We are looking for someone who is extremely organized, trustworthy, detail-oriented and comfortable taking ownership. They must be loyal, professional, and have experience. This isn't a position where you'll simply process paperwork—you'll become a key part of keeping our company organized, accurate and moving forward. Primary Responsibilities Accounting & Finance Administration Maintain accurate day-to-day bookkeeping and general ledger records Manage accounts payable and accounts receivable Prepare and process customer invoices and actively track collections Enter, review and pay vendor bills Perform bank reconciliations Coordinate month-end and year-end closing activities Maintain supporting documentation for financial transactions Assist management with weekly and monthly financial reporting Work directly with our CPA vendor for tax preparation, audits and outside accounting needs Maintain organized financial records and audit-ready documentation Assist with insurance, banking and other financial documentation as needed Help maintain visibility into company cash flow and upcoming financial obligations Assist with other administrative duties that may include payroll submittal, employee hiring paperwork, and other daily duties. Job Costing & Project Financial Tracking Because Lanracorp is a project-based contractor, this position will also help ensure management has accurate visibility into the financial performance of individual projects.
Responsibilities will include:
Maintain accurate job-cost information by project and customer Track actual labor, equipment, material, subcontractor and other project costs Help compare estimated versus actual project costs Coordinate with operations to ensure costs are assigned to the correct projects Identify missing or inaccurate job-cost information Assist management in understanding project profitability and financial performance Help develop stronger job-costing processes as Lanracorp transitions into Odoo Work with operations and management to ensure completed work is invoiced accurately and promptly Weekly Financial & Administrative Dashboard This position will be responsible for preparing a simple weekly financial and administrative dashboard for company leadership, including items such as: Cash flow report Profit and Loss, Balance Sheet, Open Invoices Accounts receivable Accounts payable Missing documentation preventing billing Loan & Lease Schedule Administration & Operations Support Provide general administrative support to company leadership Maintain company records, employee records, documents and filing systems Assist with customer and vendor paperwork, payroll, contracts, certificates and other documentation Coordinate routine office and administrative needs Help ensure information moves efficiently between field operations, management and accounting Identify administrative processes that can be simplified, automated or improved Take ownership of miscellaneous administrative issues rather than waiting for someone else to solve them Systems & Technology Lanracorp currently utilizes QuickBooks for accounting and is transitioning many of its business processes into a customized Odoo ERP system. This individual will be involved in that transition and will eventually become one of the company's key internal users for accounting, payroll, job costing and administrative functions within Odoo. QuickBooks experience is strongly preferred. Odoo or other ERP experience is a plus but not required. We're looking for someone who is comfortable learning technology and who sees systems as an opportunity to make the company more efficient, accurate and accountable. The Person We're Looking For The right person is someone who: Has strong bookkeeping and accounting fundamentals Understands AP, AR, payroll and general ledger accounting Understands or can learn project/job-cost accounting Is extremely organized and pays attention to details Can handle confidential financial and employee information Is comfortable holding people accountable for missing paperwork or information Can prioritize when several things need attention at once Communicates professionally with employees, vendors and customers Is comfortable learning new technology Looks for solutions rather than simply identifying problems Can work independently without needing constant direction Understands that accuracy and urgency can coexist Takes ownership and follows things through to completion Wants to become a trusted, long-term member of the company Experience working in construction, utilities, vegetation management, oil & gas, field services or another project-based business would be especially valuable.
