Job Description

Boot Hill Distillery and its affiliated farming and business entities are seeking an organized, dependable and business-minded Business & Finance Manager. This is a hands-on position responsible for the daily bookkeeping, payroll preparation, financial recordkeeping and general administration of several related businesses. We are looking for someone who can work independently, keep multiple businesses organized, meet deadlines and solve problems without requiring constant direction. This person will work directly with ownership and coordinate with our farm, distillery and retail employees. This position currently has no direct reports but will work closely with ownership and employees across our farming, grain, distillery and retail operations. The position has the opportunity to grow into a broader leadership role as our businesses develop. Primary Responsibilities- Accounting and Bookkeeping Maintain accurate books for multiple related businesses using QuickBooks Online and Excel and other programs. Manage accounts payable and accounts receivable. Enter and properly classify income, expenses, purchases, loans, fixed assets and intercompany transactions. Reconcile bank accounts, credit cards, loans and other accounts. Collect, organize and match invoices, receipts and supporting documents. Prepare customer invoices, record payments and follow up on outstanding balances. Coordinate with outside accountants and provide organized records for tax preparation and year-end reporting. Payroll and Human Resources Prepare and process payroll for multiple businesses. Track employee time, PTO, reimbursements and payroll information. Assist with employee onboarding, benefits, insurance and basic HR administration. Maintain accurate and confidential employee records. Help ownership and supervisors with routine employee and administrative matters. Grain Records Maintain grain ledgers by entity, commodity, crop year and storage location. Record grain received, transferred, stored, sold or used by related businesses. Reconcile grain records with scale tickets, settlement statements, contracts and available inventory. Financial Reporting and Business Support Prepare regular profit-and-loss statements, balance sheets, cash reports and other financial information for ownership. Review financial reports for errors, unusual transactions and significant changes. Help ownership understand business performance and research financial questions. Assist with budgets, cash-flow planning and comparisons between actual results and expectations. Help evaluate the financial impact of purchases, projects, staffing decisions and new opportunities. Assist with basic profitability analysis by company, department, product, customer or project when needed. Identify financial or administrative concerns and present possible solutions. Participate in regular financial and business-review meetings with ownership. General Office and Business Administration Manage general office correspondence, phone calls, mail and filing. Maintain organized electronic and physical records. Schedule meetings, appointments and recurring deadlines. Maintain company records, contracts, licenses, insurance documents and financing information. Order office supplies and assist with routine purchasing and vendor coordination. Assist with grants, reimbursements, financing applications, insurance matters and required filings. Communicate with banks, accountants, vendors, customers, insurance providers and government agencies. Help coordinate administrative needs between the farm, grain facility, distillery and retail operations. Improve and automate office, bookkeeping and reporting processes. Assist ownership and other employees with special projects and general business needs. Qualifications Previous bookkeeping, accounting, payroll or business-administration experience. Proficiency with QuickBooks Online and Microsoft Excel. Understanding of accounts payable, accounts receivable, payroll and bank reconciliations. Strong attention to detail and organizational skills. Ability to prioritize responsibilities and consistently meet deadlines. Ability to work independently and follow issues through to completion. Good judgment, problem-solving ability and professional communication. Ability to handle confidential financial and employee information. Experience working with multiple businesses or related entities is preferred. College education in accounting, finance or business is preferred, but relevant experience may substitute for a degree. What We Are Looking For The ideal candidate combines strong bookkeeping and organizational skills with practical business judgment. This person should be willing to handle routine accounting and office work while also looking beyond individual tasks to understand how the businesses are performing and where improvements can be made. They do not need farming or distilling experience, but they must be interested in learning how the businesses operate and how operational decisions affect financial results.
