Through the community land trust model, RootedHomes develops and preserves affordable homes while supporting homeowners through education, financial preparation, and ongoing stewardship. RootedHomes is committed to expanding access to homeownership for households throughout Central Oregon, with a focus on creating communities where people can build stability, equity, and a lasting connection to place. Position Summary RootedHomes is seeking a highly organized, detail-oriented, and mission-driven Office Manager to serve as a key internal resource for the organization's financial, administrative, and operational functions. This position serves as the organization's internal accounting and administrative lead, working closely with the Executive Director, external accounting firm, and staff. The Office Manager is responsible for maintaining accurate financial and administrative systems, coordinating accounting activities, supporting grant and project accounting, tracking land lease payments and home sales, coordinating annual financial and regulatory requirements, and ensuring that organizational records remain current and well organized. In addition, this position provides administrative support to the Executive Director, coordinates board meeting logistics, supports organizational events, assists with employee onboarding and offboarding, and maintains personnel and organizational records. The ideal candidate is someone who enjoys bringing structure to complex systems, takes pride in accuracy, can manage competing priorities, and is comfortable working across many areas of a growing nonprofit organization. They will bring an understanding of equity and a commitment to RootedHomes' mission of creating equitable access to housing and homeownership opportunities, while supporting housing stability and economic opportunity throughout Central Oregon. Key Responsibilities 1. Internal Accounting & Financial Operations
Serve as the primary internal resource for day-to-day accounting and financial Administration.
Maintain accurate financial records in QuickBooks, including reconciliations, accounts payable and receivable, and supporting documentation.
Assist with monthly financial close, reporting, budgeting, forecasting, and financial Analysis.
Maintain accurate financial records for RootedHomes and affiliated LLCs and entities.
Coordinate with the external accounting firm on financial reporting and accounting needs. 2. Grant & Project Accounting
Assist with grant applications, reporting, financial documentation, grant draws, and Compliance.
Maintain the Grant Tracker and reconcile grant activity to QuickBooks.
Support the Construction Department with project accounting, sources and uses, draw cards, budgets, and financial tracking.
Maintain accurate financial records and reporting for RootedHomes development projects. 3. Home Sales & Land Lease Administration
Maintain accurate sales tracking and financial information related to home closings.
Monitor monthly land lease payments, maintain related records, and provide documentation required for OHCS monitoring.
Set up recurring land lease payments in QuickBooks following home sales and assist with resolving payment issues. 4. Budget, Audit & Compliance
Coordinate with the external accounting firm to develop the annual operating budget and support the annual audit and Form 990.
Maintain organizational registrations, insurance, Certificates of Insurance, and other required compliance documentation.
Prepare annual financial summaries and maintain records necessary for financial and regulatory reporting. 5. Executive & Board Support
Provide administrative support to the Executive Director, including calendar management, scheduling, correspondence, meeting preparation, and special projects.
Provide administrative and logistical support for Board and Finance Committee meetings, including scheduling, meeting materials, records, and follow-up.
Assist with organizational events, meetings, trainings, retreats, fundraisers, and other activities. 6. Human Resources & Office Administration
Coordinate administrative onboarding and offboarding for employees, including paperwork, system access, benefits, equipment, and organizational resources.
Maintain accurate and confidential personnel and organizational records.
Assist with payroll, benefits administration, office operations, vendors, and other administrative systems.
Support an organized, efficient, and welcoming workplace for RootedHomes staff. 7. Other Duties
Perform other duties as assigned by the Executive Director. Qualifications Required
Commitment to incorporating an equity lens into organizational policies, practices, decision-making, and day-to-day work.
3-5 years of experience in accounting, bookkeeping, finance administration, nonprofit operations, office management, or a related field.
Experience using QuickBooks.
Strong understanding of basic accounting principles and financial reporting.
Experience with account reconciliation and maintaining accurate financial records.
Exceptional organizational skills and attention to detail.
Ability to manage multiple deadlines, projects, and priorities simultaneously.
Strong written and verbal communication skills.
Ability to work independently while collaborating effectively with a small, mission-driven team.
Ability to maintain confidentiality and exercise discretion with financial, personnel, homeowner, and organizational information.
Proficiency with Microsoft Office and/or Google Workspace. Qualifications Preferred
Bilingual in Spanish and English.
Experience working in a nonprofit organization.
Experience with grant accounting and compliance.
Experience supporting an annual audit and Form 990 filing.
Experience with OnPay, ADP, QSHERA, or similar systems.
Experience working with government-funded programs or Oregon Housing and Community Services.
Experience supporting a Board of Directors or nonprofit leadership team.
