Role Overview:
We are seeking a highly organized and detail-oriented Post-Closing Specialist to work the recording and post-closing process for commercial real estate transactions. This role prepares, reviews, submits, and tracks documents for recording across multiple jurisdictions, ensuring they meet applicable requirements and are completed accurately and on time. The ideal candidate is proactive, dependable, and comfortable managing time-sensitive documents and multiple priorities. The Post-Closing Specialist will work closely with Closers, Title, Legal, clients, lenders, recording offices, and other industry partners to resolve recording issues, obtain missing documentation, and address rejected documents. This role will utilize ResWare and platforms such as Simplifile to maintain accurate file status and support efficient, consistent, and scalable post-closing processes.
Key Responsibilities:

Recording Document Preparation:
Prepare, review, and organize deeds, mortgages, releases, satisfactions, assignments, and other legal documents for recording, ensuring compliance with applicable requirements. ➔
Recording Submission & Tracking:
Submit documents through county recording offices and electronic platforms, including Simplifile, and monitor submissions through completion. ➔
Post-Closing File Management:
Review closing packages for completeness, identify outstanding items, and ensure post-closing requirements are completed timely. ➔
Recording Rejections & Issue Resolution:
Monitor submissions for rejections, discrepancies, or missing information and coordinate with internal teams, clients, lenders, and recording offices to resolve issues. ➔
Recording Status Management:
Track incoming recordings and update ResWare and other internal systems with recording status and completed tasks. ➔
Post-Closing Communication:
Communicate with recording offices, title companies, law offices, lenders, clients, and other partners to obtain documents, resolve issues, and provide recording updates. ➔
Document & Image Management:
Scan, upload, index, and maintain accurate digital records of recorded documents and post-closing materials. ➔
Policy Support:
Assist with completion and issuance of Owner's and Loan Policies and other post-closing deliverables as assigned. ➔
Fees & Recording Requirements:
Verify recording fees, taxes, and other charges and ensure required payments and documentation are submitted accurately and timely. ➔
Process Improvement:
Utilize ResWare and other technology to support efficient workflows and identify opportunities to improve recording processes and turnaround times. ➔
Customer Service:
Provide professional, responsive, and solutions-oriented service to internal and external customers while maintaining confidentiality.
Qualifications:
  • Prior experience in post-closing, recording, title operations, real estate transactions, or another related title/real estate services function required, direct experience with one or more of these areas preferred.
  • Working knowledge of real estate recording processes and applicable county and state requirements; multi-state recording experience preferred.
  • Prior experience preparing, reviewing, submitting, and/or tracking legal and real estate documents for recording.
  • Prior experience with electronic recording platforms, including Simplifile, preferred.
  • Strong attention to detail and ability to identify errors, omissions, and discrepancies in time-sensitive legal documents.
  • Ability to manage multiple files and competing priorities while meeting deadlines and established turnaround times.
  • Strong written and verbal communication skills with the ability to communicate professionally with clients, lenders, attorneys, recording offices, and industry partners.
  • Demonstrated problem-solving skills with the ability to resolve recording rejections, missing documents, and post-closing issues.
  • Proficiency with Microsoft Office and title production software, ResWare experience preferred.
  • Self-motivated, dependable, and able to work independently while collaborating effectively with a cross-functional team.

Pay:
$23.00 - $28.00 per hour Expected hours: 40.0 per week
