We are seeking an experienced Payroll Manager to oversee payroll services for our business clients and help deliver accurate, timely, and responsive service. About the Role The Payroll Manager will manage payroll processing for multiple clients, oversee payroll tax filings and reconciliations, and serve as a primary resource for payroll questions. The ideal candidate combines strong technical knowledge with excellent organization, sound judgment, and a client-focused approach. Key Responsibilities Manage payroll processing for multiple business clients with different pay schedules, employee counts, and payroll requirements. Review wages, hours, overtime, bonuses, deductions, garnishments, and employee changes for accuracy. Oversee timely payroll tax deposits and federal, state, and local payroll tax filings, including Forms 941, 940, and state unemployment returns. Coordinate year-end payroll reporting, including Forms W-2 and W-3. Reconcile payroll reports, tax liabilities, and general ledger accounts. Research and resolve payroll discrepancies, tax notices, and filing issues. Assist with new client onboarding, payroll system setup, and transitions between payroll providers. Communicate clearly with clients about deadlines, required information, and payroll questions. Establish payroll procedures, review controls, and workflows that support accuracy and efficiency. Provide guidance and training to staff involved in payroll processing. Stay current on payroll requirements and protect confidential employee and client information. Qualifications At least five years of payroll experience, including responsibility for payroll tax filings and reconciliations. Experience managing payroll for multiple clients in a CPA firm, payroll service bureau, or similar environment strongly preferred. Strong knowledge of federal and state payroll requirements; Illinois and multistate payroll experience preferred. Proficiency with payroll software, Microsoft Excel, and accounting systems. Ability to manage competing deadlines while maintaining accuracy and attention to detail. Strong communication, problem-solving, and client service skills. Experience reviewing the work of others or leading payroll operations preferred. Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred. Degree in accounting, business, or a related field preferred; equivalent relevant experience considered.
