As the backbone of our administrative functions, you will oversee a variety of responsibilities—from supervising staff and managing vendor relationships to handling billing, bookkeeping, payroll and client communications. Responsibilities Oversee daily office operations, including front desk management, multi-line phone systems, calendar scheduling, and filing systems to ensure seamless workflow. Manage vendor relationships by coordinating procurement, negotiating contracts, and ensuring timely deliveries of supplies and services. Handle billing processes using accounting software such as QuickBooks; prepare invoices, track payments, and reconcile accounts regularly. Maintain accurate bookkeeping records, including accounts payable/receivable, payroll processing, budgeting support, and financial reporting. Ensure confidentiality when handling sensitive information related to clients, staff, or financial data while maintaining compliance with organizational policies. Onboarding new employees, managing employee records, and supporting training initiatives. Provide exceptional customer service by addressing client inquiries professionally via phone or email; communicate clearly and effectively at all times. Utilize Microsoft Office tools—especially spreadsheets—to track budgets, schedules, or project timelines efficiently. Qualifications Proven experience in office management or administrative roles within constrution offices or similar environments. Strong supervisory skills with previous team management experience preferred. Proficiency in accounting software such as QuickBooks along with general bookkeeping expertise. Excellent organizational skills with the ability to manage multiple priorities simultaneously in a fast-paced setting. Familiarity with financial software applications and Microsoft Office Suite (Word, Excel, Yahoo Email). Knowledge of billing procedures, payroll processing, budgeting practices, and human resources fundamentals. Exceptional communication skills—both verbal and written—with a professional phone etiquette. Ability to handle confidential information discreetly while maintaining compliance with privacy standards. Experience in event planning or vendor management is a plus. Technical proficiency in office equipment such as multi-line phones and scheduling tools is essential.
