For more than 16 years, we have enjoyed continued growth through Boat Sales, Service, Parts & Accessories, and boating and watersports experiences. As we continue to grow, we are looking for an experienced Office & Payroll Manager to help strengthen the administrative foundation of our dealership. This is an important leadership and ownership position within our organization. The Office & Payroll Manager will work closely with our General Manager and Controller and take responsibility for payroll, employee administration, office management, and recurring accounting and administrative processes. The right candidate will also have the opportunity to earn a seat on the Charlotte Ski Boats Leadership Team. We are looking for someone capable of thinking beyond their individual tasks—someone who can understand the business, identify issues, contribute to solutions, and help us continuously improve how the company operates. This position requires someone who can both execute the details and think like a leader. Previous marine, automotive, RV, heavy equipment, powersports or dealership experience is highly valued , but not required for the right candidate. We are looking for someone who is highly organized, accurate, trustworthy and proactive—someone who takes pride in making sure things are handled correctly, consistently and on time. Essential Duties & Responsibilities Payroll & Employee Administration Own and administer the company's recurring payroll process accurately and on time Review employee time, compensation, commissions, deductions, PTO and other payroll information Maintain accurate payroll and employee records Coordinate new-hire paperwork and employee onboarding Process employee changes and offboarding documentation Assist with benefits administration and employee enrollment Maintain organized and confidential personnel records Respond professionally to employee payroll and administrative questions Track recurring payroll, benefits and employee administration deadlines Coordinate with outside payroll, benefits and professional partners as needed Dealership Office & Administration Manage the day-to-day administrative functions of a multi-location marine dealership Maintain organized company records, forms, files and administrative systems Maintain recurring calendars, deadlines, renewals and administrative requirements Coordinate office vendors, supplies, mail and general office needs Assist with company meetings, employee events and internal communications Follow up with team members and managers to ensure administrative items are completed Help create administrative consistency across our locations and departments Proactively identify administrative issues and drive them to resolution Accounting & Controller Support Work closely with the Controller to support accurate and timely accounting processes Assist with invoices, documentation, reconciliations and recordkeeping Assist with accounts payable and/or accounts receivable processes as assigned Review information for completeness and accuracy Organize documentation required for month-end accounting Maintain accurate supporting documentation for financial transactions Follow established company financial controls and procedures Clearly communicate discrepancies or concerns to the Controller Leadership Team & Company Support Develop into an active and accountable member of the Charlotte Ski Boats Leadership Team Participate in recurring leadership meetings, planning and problem-solving Understand company goals, priorities and key performance indicators Bring payroll, people, office and administrative issues to the Leadership Team proactively Identify problems, recommend solutions and help drive decisions to completion Serve as a dependable administrative resource for employees and department leaders Support the General Manager and Controller while independently owning the responsibilities of this seat Follow up across departments to ensure commitments and administrative deadlines are completed Help maintain company policies, procedures and employee documentation Protect confidential company, employee, compensation and leadership information Take ownership of administrative responsibilities so company leaders can remain focused on leading and growing their departments Systems & Process Improvement Document recurring payroll, office and administrative procedures Develop and maintain checklists and standard operating procedures Identify opportunities to simplify and improve administrative processes Build repeatable systems that allow work to be delegated consistently Ensure important administrative responsibilities have clear ownership and don't fall through the cracks Help Charlotte Ski Boats continue building a professional and scalable organization Knowledge, Skills & Abilities To perform this job successfully, an individual should demonstrate the following competencies:

Comfortable working with Microsoft Office, Excel, payroll platforms, accounting software and dealership management systems.

Leadership:
Able to see beyond individual tasks, understand how decisions affect the overall organization and contribute constructively to leadership-level discussions.
Ownership:
Naturally follows through on commitments and takes responsibility for ensuring assigned responsibilities are completed accurately and on time. Qualifications 3+ years of office management, payroll, bookkeeping, HR administration or comparable professional experience preferred Hands-on payroll processing experience strongly preferred Demonstrated leadership experience or clear potential to grow into a leadership role Strong Microsoft Office and Excel skills QuickBooks or comparable accounting software experience preferred Payroll and HR software experience preferred Marine, automotive, RV, powersports or dealership experience preferred CDK Lightspeed EVO+ experience is a strong plus High school diploma required; associate or bachelor's degree in Accounting, Business Administration, Human Resources or related field preferred Who We're Looking For Highly organized and detail-oriented Strong sense of ownership and follow-through Humility and willingness to learn Grit and determination Self-motivated Dependable and consistent High level of integrity and confidentiality Strong communicator Positive and optimistic Comfortable being held accountable and holding others accountable Able to identify issues and bring forward potential solutions—not simply report problems Comfortable participating in leadership-level conversations and respectfully challenging ideas when appropriate Able to see beyond individual tasks and understand how decisions affect the overall business Capable of moving between detailed administrative execution and higher-level business thinking Someone who naturally creates order and consistency What Success Looks Like Payroll is accurate and on time. Employee records, onboarding and administrative processes are organized. Recurring deadlines are anticipated rather than missed. Managers have a dependable resource for payroll and administrative support. Our Controller has more capacity to focus on financial accuracy, reporting and higher-level accounting. Our General Manager spends less time managing recurring administrative details and more time leading the organization. You develop into a trusted member of our Leadership Team who understands the business—not simply the person who processes payroll. You bring visibility to payroll, people and administrative issues before they become larger problems. You contribute ideas, solve problems and help leadership continuously improve the organization. You can operate in the details while still seeing the bigger picture. And when something falls within your seat: It's handled. Work Schedule Full-time, on-site position based at our Mooresville/Lake Norman location. Charlotte Ski Boats Accounting operates Monday-Friday. Schedule requirements will be based on the needs of the position and season. Some schedule flexibility may be available following the initial training period. Annual Pay Range $60,000-$70,000 per year Compensation is based on experience and demonstrated ability in payroll, dealership administration, accounting support, employee administration and leadership.
