Health Insurance, 401(k), Paid Time Off, and additional company benefits About Us We are a well-established, family-owned construction company located off Rte. 93 in Methuen, Massachusetts. We are seeking an experienced and dependable Payroll Administrator to join our office team. This is a full-time, year-round position responsible for processing payroll for approximately 60-125 employees, depending on workload and active projects. In addition to weekly payroll, this position handles payroll tax reporting, union reporting, certified payroll, prevailing-wage compliance & employee benefits administration. We are looking for someone who is highly organized, accurate, dependable, and capable of taking ownership of the payroll process from beginning to end. Primary Responsibilities Process weekly payroll for approximately 60-125 employees Review employee hours, pay rates, job classifications, overtime, deductions, reimbursements, and other payroll information for accuracy Process new hires, terminations, wage changes, deductions, and other employee payroll changes Maintain accurate employee payroll and personnel records Process and report federal and state payroll taxes Prepare required quarterly payroll tax filings and reports Handle year-end payroll processing and W-2 preparation Maintain vacation, sick time, and other paid-time-off records Respond to employee payroll and benefit questions Administer employee 401(k) enrollment, deductions, contributions, and related reporting Coordinate health insurance enrollment, changes, and terminations Perform basic HR administrative functions and maintain confidential employee records Construction, Union & Prevailing-Wage Payroll A part of this position involves construction-specific payroll reporting and compliance.
Responsibilities include:
Prepare and submit certified payroll reports Process certified payroll for prevailing-wage projects Verify employee classifications and applicable prevailing-wage rates Track employee hours by project, classification, and jurisdiction as required Complete required union payroll and benefit reporting Prepare and submit union benefit and fringe-benefit reports Track union deductions, contributions, and benefit obligations Assist with payroll documentation required for public and government-funded projects Maintain organized certified payroll and prevailing-wage records Assist with payroll-related audits and requests for supporting documentation Coordinate with project management and accounting when payroll information differs between jobs, classifications, or union requirements Qualifications Previous payroll administration experience required Construction payroll experience strongly preferred Experience processing payroll for approximately 50+ employees preferred Experience with certified payroll and prevailing-wage work strongly preferred Familiarity with union payroll and union benefit reporting preferred Knowledge of federal and Massachusetts payroll requirements Experience with quarterly payroll reporting and W-2 preparation Experience administering 401(k) and health insurance benefits preferred Strong Microsoft Excel and general computer skills Experience with QuickBooks, construction accounting software, or similar payroll systems is a plus Excellent attention to detail and organizational skills Ability to work independently and consistently meet weekly, monthly, quarterly, and annual deadlines Strong communication and problem-solving skills Ability to handle confidential employee and financial information professionally What We're Looking For The ideal candidate is someone who understands that construction payroll involves more than simply processing a weekly paycheck. Our employees may work on different projects with different classifications, union requirements, benefit obligations, and prevailing-wage requirements. We are looking for someone who can take responsibility for the payroll process, stay ahead of reporting deadlines, maintain accurate records, and communicate effectively with employees, management, accounting, unions, and outside benefit providers. Experience with union construction payroll, certified payroll, and prevailing-wage projects will be highly valued.
