Job Description

Overview We are seeking a dependable, organized, and detail-oriented Payroll Clerk to join our team. The ideal candidate will have strong administrative skills, excellent attention to detail, and the ability to handle confidential employee and payroll information with professionalism. The Payroll Clerk plays a vital role in ensuring accurate and timely payroll processing for our organization.
JOB RESPONSIBILITIES
Process weekly, biweekly, and monthly payrolls accurately and on time Maintain employee records, personnel files, and payroll documentation Enter and verify employee timekeeping, attendance, deductions, and other payroll information Complete new-hire onboarding and employment paperwork Process employee changes, including pay rates, benefits, tax withholdings, and status changes Assist employees with payroll and HR-related questions Maintain confidentiality of employee and company information Assist with payroll tax filings, reports, audits, and reconciliations Track vacation, sick time, and other employee leave Assist with benefits administration and employee communications Prepare HR and payroll reports as needed Perform general office and administrative duties as assigned Reconcile payroll accounts and perform general ledger accounting tasks to ensure accuracy in financial records. Maintain compliance with company policies, employment laws, labor regulations, and tax law requirements related to payroll processing. Prepare and review journal entries for payroll transactions; ensure proper debits and credits are recorded in accounting software like QuickBooks or PeopleSoft. Handle confidential information with integrity while managing payroll tax filings, benefits administration, and employee data updates. Assist in the analysis of payroll data for reporting purposes; utilize spreadsheets for detailed data entry, analysis, and reconciliation tasks. Support accounts payable and receivable processes as needed; contribute to bookkeeping activities including double entry bookkeeping and general ledger reconciliation. Qualifications Strong knowledge of employment & labor law, payroll tax law, and financial concepts related to payroll management. Proficiency in accounting software (e.g., QuickBooks Online), spreadsheets (Excel/Google Forms), and HR systems (HRIS). Solid understanding of time & attendance systems and payroll processing procedures. Experience in corporate accounting or non-profit accounting environments is highly desirable. Excellent attention to detail with strong analysis skills; capable of handling high-volume data entry (10 key typing) accurately. Familiarity with account reconciliation processes including journal entries, debits & credits, and general ledger activities. Ability to handle confidential information discreetly while maintaining compliance with legal standards. $16.00 - $18.00 per hour Expected hours: 40.0 per week
