Dental Insurance Coordinator Truckee Pediatric Dentistry | Truckee, California Truckee Pediatric Dentistry is seeking an experienced, organized, and compassionate Dental Insurance Coordinator to join our patient care team. This position serves as an essential connection between our patients, in-office team, insurance companies, and external Revenue Cycle Management (RCM) team . Because Truckee Pediatric Dentistry is an out-of-network provider with dental insurance plans , this role requires someone who can confidently help families understand and navigate their benefits, anticipated reimbursements, treatment expenses, and financial responsibilities. The ideal candidate will make complex insurance information easier to understand while delivering the thoughtful, personalized service our families expect. We believe every family deserves clear information and individualized guidance so they can make informed decisions about their child's oral health. That commitment extends beyond clinical care. As an out-of-network practice, we recognize that navigating dental benefits and treatment expenses can feel complicated. Our Dental Insurance Coordinator helps bring our vision to life by providing families with transparent estimates, explaining their available benefits, helping them anticipate out-of-pocket expenses, and working to ensure that eligible insurance benefits are used appropriately. Our goal is not simply to process insurance information. It is to help families feel informed, respected, and supported throughout their entire experience with our practice. Key Responsibilities Serve as the primary liaison between our office and external Revenue Cycle Management team Help families understand how their dental benefits work when receiving care from an out-of-network provider Verify insurance eligibility, benefits, limitations, frequencies, deductibles, annual maximums, and out-of-network reimbursement provisions Accurately enter and maintain insurance information in patient records Prepare treatment estimates that clearly outline anticipated insurance payments and patient responsibilities Explain fees and financial expectations in a professional, compassionate, and easy-to-understand manner Clearly communicate that insurance estimates are based on available benefit information and are not guarantees of payment Help families understand the difference between insurance reimbursements and the practice's fees Collect estimated patient portions, copayments, and outstanding balances Provide the RCM team with complete and timely clinical documentation, radiographs, narratives, and claim attachments Monitor outstanding claims, denials, requests for additional information, and aging insurance balances Work with the RCM team to identify and resolve claim delays, coding questions, documentation issues, and payment discrepancies Review insurance payments and explanations of benefits for accuracy Assist with predeterminations, preauthorizations, and treatment-related insurance questions Communicate professionally with insurance representatives and advocate appropriately for patients Help families maximize the benefits available under their individual dental plans Respond to patient questions regarding claims, reimbursements, account balances, and treatment expenses Maintain detailed notes documenting insurance and financial conversations Protect patient confidentiality and follow HIPAA and office compliance standards Support the front-office team with scheduling, phones, and patient service when needed The Ideal Candidate Has previous dental insurance, billing, or dental front-office experience Understands dental terminology, procedure codes, claims, explanations of benefits, denials, and coordination of benefits Understands or is willing to learn the unique financial and insurance considerations of an out-of-network dental practice Is comfortable collaborating with an external Revenue Cycle Management company Can explain financial information clearly without making families feel pressured or overwhelmed Is confident discussing treatment expenses and collecting patient balances Demonstrates empathy and patience when helping families navigate unexpected costs or insurance limitations Is highly organized and attentive to detail Takes ownership of unresolved issues and follows them through to completion Can balance accuracy, productivity, and exceptional customer service Works collaboratively with clinical and administrative team members Is comfortable learning new technology and practice-management systems Maintains a positive, professional, and team-oriented attitude Preferred Qualifications Two or more years of dental insurance or dental administrative experience Experience in a pediatric or specialty dental practice Experience working in an out-of-network or fee-for-service dental practice Experience coordinating with an external dental billing or RCM team Knowledge of Oryx Dental Software is a plus Schedule and Compensation Part-time Monday through Thursday, 8-5pm
