About the Role The Advisor Team Associate works directly with an advisory team and takes ownership of administrative work that might otherwise pull time away from financial planning and client service. The role is responsible for maintaining accurate, organized client data and documentation across the firm's core technology platforms and completing the recurring administrative tasks that help client service run smoothly. This is primarily an internal, behind-the-scenes position focused on data entry and reconciliation, document organization, workflow tracking, and meeting logistics. The role also includes routine client contact such as scheduling, follow-up correspondence, and requesting documents including tax returns and account statements. It does not involve financial planning analysis, investment recommendations, or providing advice. What Makes This Role Unique? Direct exposure to the technology and workflows used by a growing SEC-registered investment advisory firm. A balance of independent, detail-focused work and routine client and team communication. Opportunities to improve processes, strengthen workflows, and help the advisory team operate more efficiently. Key Responsibilities Systems & Data Management Enter and update client information across eMoney, Wealthbox, Orion, and Holistiplan, keeping records consistent between systems. Reconcile information between technology platforms and custodial statements, including comparing eMoney balances to custodial data, and flag discrepancies for review. Maintain Wealthbox as the system of record by managing contacts, custom fields, and tags. Run recurring reports to identify outstanding follow-ups, missing information, and clients due for outreach. Maintain eMoney client vaults, including uploaded documents, account connections, and portal access. Document & Information Coordination Request documents from clients, including tax returns, account statements, and trust and estate documents, and route them to the appropriate system or team member. Maintain an audit trail of key trust, insurance, and estate documents to confirm current copies are on file. Support tax-related workflows in Holistiplan, including preparing tax letters and reports and following up on outstanding tax return requests. Scheduling & Client Correspondence Send scheduling and confirmation emails for client meetings and manage calendar logistics for the advisory team. Draft and send routine post-meeting follow-up correspondence, including confirmation of next steps and requested documents. Respond to straightforward, non-advisory client emails and route matters requiring advice or judgment to the advisor. Coordinate the logistics of pre-approved, recurring client communications using content and messaging provided by the advisor. Meeting Support Prepare meeting materials, including running reports from the firm's software platforms. Process Improvement & Training Build and maintain checklists and workflows that support accurate and consistent client data across all four core platforms. Stay current on relevant features and updates within eMoney, Wealthbox, Orion, and Holistiplan and share useful changes with the team. Identify opportunities to streamline recurring administrative processes. The Ideal Candidate Will Have One to three years of experience in an administrative, operations, or client-service support role. Strong attention to detail, particularly with data entry and cross-checking information across systems. Excellent written and verbal communication skills, including comfort corresponding directly with clients on routine matters. Strong organizational and time-management skills, with the ability to manage recurring responsibilities and shifting priorities with minimal supervision. A self-motivated, dependable approach and comfort learning and working across multiple software platforms. Preferred Qualifications Direct experience with eMoney, Wealthbox, Orion, or Holistiplan. Prior experience with a registered investment advisor or another financial services firm. Familiarity with basic financial documents, such as tax returns, account statements, and trust documents, sufficient to organize and file them accurately.
