In person Benefits Health insurance Dental insurance Vision insurance Job Overview HDM Tax Group is seeking an organized, dependable, and client-focused Bilingual Tax Administrative Assistant to support our tax and accounting team. Professional fluency in both English and Spanish is required. The successful candidate must be able to communicate clearly with clients in both languages by telephone, email, and in person. This role helps clients move smoothly through tax preparation, accounting, and tax resolution engagements. Responsibilities include managing documents, maintaining client records, tracking deadlines, coordinating appointments, communicating with clients, and providing daily administrative support to the firm. A CPA license or Enrolled Agent credential is not required. Responsibilities Communicate professionally with English- and Spanish-speaking clients Answer and route incoming telephone calls, emails, and client inquiries Greet clients and provide a welcoming, professional office experience Schedule appointments, consultations, follow-up meetings, and document drop-offs Send appointment confirmations, reminders, and follow-up communications Assist with new-client intake and collect required client information Request tax documents, signatures, financial records, and missing information Follow up with clients regarding outstanding documents and deadlines Receive, scan, label, organize, and securely store client documents Upload and download documents through the firm's secure client portal Maintain accurate electronic and physical client files Update client records in the firm's tax and administrative systems Assemble tax-return files and supporting documents for the preparation team Track tax returns, extensions, amended returns, tax notices, and tax resolution matters Prepare standard engagement letters, organizers, questionnaires, and authorization forms Send documents for electronic signature and track their completion Assist with administrative steps related to electronic filing Track accepted, rejected, pending, and completed tax-return filings Route IRS and state tax notices promptly to the responsible team member Gather and organize documents for federal and state tax resolution matters Maintain resolution case notes, correspondence, authorization forms, and deadlines Communicate administrative updates without providing unauthorized tax or legal advice Assist with billing, payment follow-up, mailing, scanning, and document delivery Protect client confidentiality and follow the firm's information-security procedures Provide additional administrative support to tax professionals and leadership Required Qualifications Professional fluency in English and Spanish Ability to speak, read, and write effectively in both languages Previous administrative, customer service, or office-support experience Strong organization and attention to detail Professional telephone, email, and in-person communication skills Ability to manage multiple clients, assignments, and deadlines Ability to follow procedures and accurately document completed work Comfortable requesting information and following up with clients Ability to handle confidential personal and financial information with discretion Proficiency with Microsoft Outlook, Word, and Excel Comfortable learning tax software, client portals, document-management systems, and electronic-signature platforms Dependable, punctual, and able to remain organized during busy tax-season periods Preferred Qualifications Experience with a CPA firm, tax firm, accounting office, law firm, or financial-services organization Familiarity with individual and business tax documents Experience supporting tax preparation, bookkeeping, or tax resolution work Familiarity with IRS and state tax notices Experience with QuickBooks or similar accounting software Experience using client portals and electronic-signature systems Experience maintaining confidential files and tracking important deadlines Ideal Candidate The ideal candidate is bilingual, organized, proactive, personable, and comfortable working in a fast-paced professional environment. Schedule Expectations Consistent availability during regular business hours is required. Additional hours may be needed during tax season and other peak filing periods.
