Purpose of the Role The Controller is responsible for the accounting behind the 3923 Management portfolio — the general ledger, the monthly close, the financial statements, and the owner and lender reporting for the properties and ownership entities assigned to this seat. This is a corporate accounting role that works alongside the company's existing Controller as a peer, not a subordinate. Scope is assigned by the COO and will change as the portfolio grows. Hired for trajectory. This seat is built for an accountant earlier in their career who is ready to own real responsibility and wants more of it. We are hiring for aptitude, ownership, and appetite as much as for years of experience. The person in this seat should expect growing scope, growing complexity, and eventually a team. The Standard
▪ Close on time. The calendar is the calendar. If something is going to slip, the COO hears it before the deadline, not after.
▪ Own the number. A number that leaves this office is one an owner, a lender, or a brand will rely on. Tie it out before it goes.
▪ Know the operation. Understand the hotel behind the statement. A variance you cannot explain in plain language to a GM is not finished work.
▪ Say it early. Bad news does not improve with age. Control gaps, cash problems, and misses get raised the day they are found.
▪ Build for the next hotel. Do the work in a way that still holds when there are twice as many properties on it. Core Responsibilities 1. Monthly Close and Financial Reporting
▪ Issue accurate monthly, quarterly, and annual financial statements for each property and ownership entity within the published close calendar.
▪ Prepare journal entries, accruals, prepaid amortization, and depreciation; reconcile every balance sheet account monthly with organized support behind each entry.
▪ Write variance commentary against budget and prior period at a level of detail an owner and a GM can act on.
▪ Maintain fixed asset, capital expenditure, and FF&E schedules by property.
▪ Produce owner and investor reporting packages on the schedule each ownership entity requires. 2. Hotel Accounting
▪ Review daily revenue and night audit reporting and resolve discrepancies with property leadership.
▪ Reconcile brand statements, franchise and marketing fees, loyalty charges, credit card settlements, OTA and channel remittances, city ledger, and advance deposits, and maintain statements in the format each brand and each owner requires.
▪ Prepare and file hotel occupancy, sales and use, and mixed beverage taxes on time and without penalty.
▪ Calculate management fees and intercompany allocations between the management company and the property entities. 3. Cash, Banking, and Lender Compliance
▪ Manage daily cash position, deposit verification, bank reconciliations, and short-term cash forecasting.
▪ Prepare lender reporting packages and covenant calculations, and support reserve and escrow draw requests with the required backup.
▪ Track FF&E and capital reserve balances and coordinate disbursements with the servicer.
▪ Maintain internal controls and separation of duties at the corporate and property level, and report any exception to the COO immediately. 4. Budget, Forecast, and GM Support
▪ Lead the annual budget process with the GMs and operations leadership, and maintain rolling forecasts that flag risk early enough to act on.
▪ Provide the analysis behind operating decisions — labor, contracts, utilities, insurance, cost per occupied room, and flow-through.
▪ Serve as the accounting resource for the GMs, including training them to read and own their P&L.
▪ Support AP and AR, assist with payroll accounting, and facilitate internal audits, external reviews, and tax preparation requests. 5. Growth and Acquisitions
▪ Support due diligence on prospective acquisitions — historical financials, operating statements, and tax filings.
▪ Handle entity setup, opening balance sheets, and system onboarding for newly acquired properties.
▪ Document repeatable accounting process that survives the next five hotels. Reporting & Boundaries
▪ Reports to the COO. Directly, with no accounting supervisor in between.
▪ Peer to the Controller. Neither seat supervises the other. How the work is divided between them is set by the COO and will evolve as the portfolio and the function grow.
▪ One set of standards. Chart of accounts, close calendar, and accounting policy are company-wide, applied consistently and never changed unilaterally. Where the two Controllers cannot agree, the COO decides.
▪ No direct reports at hire. Functional direction of shared accounting support; people leadership comes as the function grows.
▪ Partner to the GMs, not their supervisor. This seat supports, trains, and holds the numbers straight. Operational accountability for the GM stays with operations leadership. Development Path 3923 Management is actively growing its portfolio, and the accounting function grows with it. A Controller who performs in this seat should expect expanding scope, deeper involvement in acquisitions and lender relationships, support toward the CPA, and the opportunity to build and lead a team. Progression is earned through demonstrated results and is at the company's discretion; nothing in this description promises promotion, a specific title, or continued employment. Qualifications
▪ Bachelor's degree in accounting, finance, or a related business field.
▪ Two or more years of progressive accounting experience with full-cycle close responsibility, including financial statement preparation and balance sheet reconciliation.
▪ Working command of GAAP and of internal control principles.
▪ Advanced Excel — able to build and audit a working model without help.
▪ Able to carry multiple entities and deadlines independently, and to explain financial results in plain language to operators who are not accountants.
▪ Hospitality accounting experience preferred — select-service or extended-stay, with familiarity with the Uniform System of Accounts for the Lodging Industry.
▪ Multi-property or multi-entity experience preferred; experience with a hotel accounting or property management platform preferred.

candidate, or active progress toward the CPA preferred. The company will support exam progress for the right candidate.
▪ Valid driver's license and insurability for driving. Occasional regional travel to portfolio properties.
Pay:
$70,000.00 - $85,000.00 per year
