Job Description

Job Summary Birdwell and Mutlak Dentistry, a privately owned dental practice, seeking an experienced Dental Insurance Coordinator to join our team. This position has a primary focus on dental insurance coordination, treatment estimates, and patient financials , with additional responsibility for treatment coordination and front-office support. Responsibilities Verify dental insurance eligibility, benefits, limitations, exclusions, deductibles, and annual maximums. Accurately calculate treatment estimates and patient financial responsibilities. Obtain pre-authorizations and pre-determinations as needed. Periodically negotiate insurance fee schedules and use knowledge of these to track accuracy of claim payments. Work closely with our outside billing partner, eAssist , to ensure accurate and timely claim resolution. Present treatment plans, financial options, and patient portions clearly and confidently. Follow up on unscheduled treatment and coordinate patient appointments. Collect copayments and outstanding balances professionally. Answer phones, assist with scheduling, and support patient check-in/check-out as needed. Maintain accurate patient records and communicate effectively with the clinical and administrative team. Qualifications Minimum 2 years of hands-on dental insurance experience required. Strong understanding of dental insurance benefits, claims, treatment estimates, and patient financials. Comfortable independently interpreting insurance plans and explaining financial responsibilities to patients. Excellent communication, organizational, and customer-service skills. Detail-oriented, dependable, professional, and able to multitask in a busy dental practice. Experience with XL Dent, eAssist, or similar dental software/billing services is preferred but not required. Familiarity with CDT codes and treatment coordination is preferred. We are looking for someone who truly understands dental insurance , takes ownership of their responsibilities, and enjoys helping patients navigate both their treatment and financial options.
