Job Description

The Assistant Business Office Manager supports the daily administrative and operational functions of the organization, ensuring accuracy, efficiency, and compliance in all business office activities. This role plays a critical part in maintaining up-to-date and accurate medical records, supporting billing readiness, and serving as a key communication link between clinical teams, patients, families, and external partners. The ideal candidate thrives in a fast-paced, dynamic healthcare environment and demonstrates exceptional organizational, time management, and problem-solving skills. Success in this role requires the ability to prioritize multiple responsibilities, adapt quickly to changing priorities, shift focus as operational needs evolve, and maintain accuracy, professionalism, and attention to detail while managing competing demands.
JOB RESPONSIBILITIES
Medical Records & Documentation Ensure all patient medical charts are accurate, complete, and up to date in accordance with regulatory standards Upload and maintain healthcare documentation within the electronic medical record (EMR) system Monitor records for compliance with Medicare, Medicaid, and hospice documentation requirements Collaborate with clinical staff to resolve missing or incomplete documentation Insurance Verification & Support Run and verify patient insurance eligibility, including Medicare and Medicaid Maintain accurate payer information in patient records Assist with identifying coverage issues and communicating findings to appropriate team members Support billing processes by ensuring documentation aligns with payer requirements Administrative & Office Support Assist with daily office operations including filing, copying, scanning, and document organization Answer and direct incoming phone calls in a professional and compassionate manner Provide general administrative support to leadership and team members Maintain organized and efficient office systems Communication & Coordination Communicate effectively with physicians, patients, families, and interdisciplinary team members Serve as a professional point of contact for internal and external inquiries Support coordination between clinical and administrative departments

$22.00 - $25.00 per hour
