Grass Lake Pediatric Dentistry is seeking a warm, organized, and proactive Pediatric Dental Treatment Coordinator to join our team. This position plays an important role in helping families feel confident and supported from the moment treatment is recommended through the completion of their child's care. The Treatment Coordinator serves as the primary point of contact for families who have been presented with dental treatment. You will work closely with our pediatric dentist, clinical team, and front office team to help parents understand recommended treatment, review insurance benefits and financial options, coordinate appointments, and ensure that treatment plans do not fall through the cracks. Because we work exclusively with children, this position requires more than excellent administrative skills. We are looking for someone who communicates with empathy, remains calm when parents are anxious or overwhelmed, and can confidently guide families through decisions while maintaining a positive, judgment-free experience. Primary ResponsibilitiesTreatment Plan Coordination Review recommended treatment plans with parents and caregivers following the dentist's diagnosis and clinical recommendations. Clearly explain the sequence, timing, estimated costs, insurance benefits, and next steps associated with treatment. Help families understand their treatment options while ensuring that clinical questions or concerns are appropriately directed back to the dentist. Schedule treatment efficiently and accurately based on the child's treatment needs, appointment length, provider availability, and urgency. Coordinate multi-visit treatment plans and help families understand what to expect throughout the process. Ensure parents leave their consultation knowing exactly what the next step is. Treatment Follow-Up & Case Acceptance Maintain an organized system for tracking unscheduled and incomplete treatment plans . Proactively contact families who have not yet scheduled recommended treatment. Follow up with families who need additional information, insurance estimates, financial arrangements, or time to make a decision. Identify barriers preventing families from scheduling treatment and work with them to find appropriate solutions within office policies. Monitor outstanding treatment and communicate concerns or delays to the appropriate team members. Help ensure urgent or time-sensitive treatment is scheduled appropriately. Document all treatment-related communication thoroughly in the patient's chart. Pediatric & Sedation Treatment Coordination Help families navigate more complex treatment recommendations, including extensive restorative treatment and treatment requiring additional behavioral or sedation considerations. Coordinate treatment requiring IV sedation , including scheduling, required documentation, financial arrangements, and communication with families regarding office protocols. Ensure families receive appropriate pre-appointment information and that required forms or documentation are completed prior to treatment. Work closely with the clinical team to ensure treatment appointments are scheduled correctly based on the child's individual needs. Insurance & Financial Coordination Verify dental insurance benefits when necessary and provide families with accurate estimates of insurance coverage and patient responsibility . Clearly communicate that insurance estimates are not guarantees of payment. Review treatment costs and payment expectations with parents before appointments. Collect deposits and payments according to office financial policies. Help families understand available payment options while consistently following practice policies. Assist with insurance questions related to planned treatment and communicate with insurance companies when additional information or clarification is required. Coordinate with the administrative team regarding outstanding claims, pre-treatment estimates, or insurance issues affecting treatment. Scheduling & Practice Flow Schedule treatment appointments accurately and strategically to support efficient clinical flow. Understand appointment types, treatment lengths, provider schedules, and clinical scheduling guidelines. Help minimize unused treatment time by maintaining an active list of families interested in earlier appointments. Assist with rescheduling canceled treatment and filling openings when possible. Communicate closely with the clinical and administrative teams regarding schedule changes, special patient needs, and treatment concerns. Parent Communication & Patient Experience Provide exceptional customer service through phone, text, email, and in-person communication. Communicate confidently and compassionately with parents who may be anxious, frustrated, confused, or concerned about their child's dental treatment. Help families feel informed rather than pressured when discussing treatment and finances. Maintain a professional, positive, and judgment-free approach when discussing oral health, treatment needs, insurance coverage, or financial circumstances. Recognize when a clinical question should be referred to the dentist or clinical team rather than attempting to provide clinical advice. Represent Grass Lake Pediatric Dentistry in a friendly, professional, and helpful manner during every interaction. Administrative Responsibilities Maintain accurate and complete patient records and document communications in the patient's electronic chart. Ensure treatment plans, appointments, insurance information, financial arrangements, and relevant notes are entered accurately. Assist with incoming phone calls and administrative responsibilities as needed. Maintain patient confidentiality and comply with HIPAA and office privacy policies. Work collaboratively with the entire team and assist in other areas of the practice when necessary. QualificationsPreferred Experience Previous dental office experience strongly preferred . Pediatric dental experience is a plus but not required. Experience presenting dental treatment plans, discussing financial arrangements, insurance verification, scheduling, or dental billing is highly desirable. Familiarity with dental practice-management software and electronic patient records preferred. Working knowledge of dental terminology, dental insurance, treatment estimates, and common dental procedures is preferred. Patient records clearly document treatment discussions and communication. The clinical schedule is supported by thoughtful, proactive treatment coordination.
