Job Description
Delta Health is seeking a Lead Medical Assistant - Surgery Scheduling & Referrals Specialist to support safe, timely, and coordinated patient care across clinical and administrative workflows. This role combines direct medical assistant responsibilities with surgery scheduling, referral coordination, prior authorizations, and day-to-day support for clinic staff. The Lead Medical Assistant works closely with patients, providers, specialists, payers, and healthcare partners to ensure referrals, surgical procedures, authorizations, documentation, and follow-up activities are completed accurately and efficiently. Key Responsibilities Provide clinical support including patient intake, vital signs, medication and health history updates, blood draws, injections, wound care, and patient communication. Accurately document clinical information, test results, procedures, communications, and follow-up activities in the electronic health record. Coordinate and schedule surgical procedures with patients, surgeons, facilities, and clinical teams. Ensure required clearances, testing, documentation, authorizations, and clinical information are completed prior to procedures. Coordinate surgical coding and prior authorization activities and follow up with payers and clinical teams as needed. Review, process, and track referrals from initiation through completion, ensuring required demographic, clinical, and insurance information is complete. Coordinate specialty appointments and follow up on outstanding records, authorizations, appointments, and specialist reports. Communicate with patients, providers, specialists, and payers to resolve referral and scheduling barriers and minimize delays in care. Maintain accurate health information and records within QHN, Athena, and other electronic health record systems. Serve as a day-to-day resource for clinic staff and promote effective communication and teamwork. Support staffing, workflow, employee coaching, performance development, and a clean, safe, and efficient work environment. Maintain patient confidentiality and comply with HIPAA, records-management, organizational policies, and applicable laws and regulations. Demonstrate integrity, sound judgment, responsible use of organizational resources, and professional communication with patients, coworkers, providers, payers, and business partners. Required Qualifications High school diploma or equivalent. 2+ years of healthcare experience. Current Registered Medical Assistant (RMA) through AMT or Certified Medical Assistant (CMA) upon hire, or certification obtained within 18 months of hire. Current BLS certification. Experience with electronic health records, patient scheduling, referrals, prior authorizations, and healthcare documentation. Strong written, verbal, organizational, and communication skills. Ability to manage multiple patients, referrals, authorizations, and scheduling processes simultaneously. Experience coordinating surgical procedures, specialty referrals, or complex payer authorizations. Experience training, coaching, or providing workflow support to clinical staff. Preferred Qualifications Previous experience in a similar role. Knowledge of surgical terminology and coding concepts. Experience with Workers' Compensation and Veterans Affairs authorization processes.
