This is a unique opportunity to help build a practice from the ground up, shape the patient experience, develop efficient systems, and grow into the Office Manager role as the practice expands. Initially, this person will serve as our primary Treatment Coordinator, Scheduling Coordinator, and administrative lead. Because we are a startup, the ideal candidate must be comfortable wearing multiple hats, shifting priorities, taking initiative, and helping wherever needed. As patient volume and the team grow, this position is expected to evolve into an Office Manager role with responsibility for hiring, training, team accountability, operational oversight, and practice growth. Primary Responsibilities Treatment Coordination and Case Acceptance Guide new patients and families through an exceptional consultation experience from arrival through treatment acceptance. Build trust by listening carefully, understanding each family's priorities, and clearly explaining treatment recommendations. Present treatment plans, fees, insurance estimates, and payment options accurately and confidently. Help patients overcome concerns and make informed treatment decisions without creating pressure. Complete treatment contracts, financial agreements, consent forms, and payment arrangements. Follow up consistently with pending patients who have not yet started treatment. Track consultation activity, conversion rates, pending patients, and scheduled starts. Partner closely with the doctor to create a consistent and personalized new-patient experience. Scheduling and Patient Communication Answer incoming calls, texts, emails, and website inquiries promptly and professionally. Schedule new-patient consultations, treatment starts, and ongoing appointments. Maintain an efficient schedule that supports strong patient care, team productivity, and practice growth. Confirm appointments and proactively manage cancellations, no-shows, and schedule gaps. Communicate clearly with patients regarding appointments, financial expectations, forms, and next steps. Build strong relationships with patients and families throughout their experience with the practice. Startup Operations and Practice Development Help create, document, and improve front-office and new-patient systems. Identify workflow challenges and recommend practical solutions. Maintain accurate patient records, reports, trackers, and administrative documentation. Monitor new-patient leads and ensure every inquiry receives timely, consistent follow-up. Assist with insurance verification, financial arrangements, payment collection, and other administrative responsibilities as needed. Support community outreach, referral relationships, events, and marketing initiatives. Develop relationships with local dental offices, schools, businesses, and community organizations. Represent the practice professionally at community and referral events. Look for opportunities to improve patient service, increase case acceptance, and support sustainable growth. Be willing to assist with other responsibilities as the needs of the startup practice evolve. Excited by the opportunity to build systems, improve processes, and help grow a practice. Willing to perform both high-level and routine tasks during the startup phase. Preferred Qualifications Previous orthodontic or dental experience strongly preferred. Treatment Coordinator experience preferred. Experience presenting fees, financial arrangements, or high-value services is highly desirable. Previous scheduling, customer service, hospitality, sales, or practice-management experience is beneficial. Familiarity with orthodontic practice-management software, insurance verification, and patient financing is a plus. Prior leadership or team-training experience is helpful but not required for a candidate with strong leadership potential. High school diploma or equivalent required; additional education or certifications are welcomed.
