Job Summary:
The Front Desk Associate serves as the first point of contact for clients, providing a warm welcome and exceptional service. This role requires managing client appointments, handling inquiries, and ensuring a seamless front desk operation. The ideal candidate is a polished professional with excellent communication skills and a background in a medical spa environment.
Key Responsibilities:
  • Client Reception
  • Greet clients warmly and professionally upon arrival.
  • Manage client check-in and check-out processes efficiently.
  • Maintain a clean and organized reception area.
  • Appointment Management
  • Schedule, confirm, and manage client appointments using spa software.
  • Ensure insurance copays and balances are collected for the medical appointments.
  • Handle rescheduling and cancellations with a client-focused approach.
  • Coordinate with aestheticians and medical staff to ensure timely service delivery.
  • Insurance Referrals & Authorizations
  • Experience in Insurance Authorizations and management
  • Ensuring Procedures are scheduled according to the authorization dates obtained
  • Ensuring patients have referrals if required for appointments
  • Customer Service
  • Answer phone calls and respond to emails promptly and courteously.
  • Address client inquiries about services, pricing, and promotions.
  • Provide detailed information about treatments and products offered.
  • Administrative Tasks
  • Process payments and manage point-of-sale transactions.
  • Maintain accurate client records and update information as needed.
  • Assist with inventory management and ordering of supplies.
  • Sales & Promotions
  • Promote spa services, packages, and retail products to clients.
  • Upsell treatments and recommend products to enhance client experience.
  • Inform clients about special offers and loyalty programs.
Qualifications:
  • Experience
  • Minimum of 2 years of experience as a front desk associate or similar role in a medical spa or related setting.
  • Familiarity with medical spa treatments and procedures is preferred.
  • Skills
  • Excellent communication and interpersonal skills.
  • Proficient in using spa management software and MS Office Suite.
  • Strong organizational and multitasking abilities.
  • Detail-oriented with a high degree of accuracy.
  • Attributes

  • Ability to remain calm and composed under pressure.
  • Customer-centric attitude with a passion for delivering exceptional service.
Education:
  • High School Diploma or equivalent required.
