Job Description

Job Overview We are seeking a dynamic and highly organized Clinic Office Manager to lead the daily operations of our healthcare facility. This pivotal role combines administrative expertise with healthcare management skills to ensure smooth clinic functioning, exceptional patient service, and compliance with healthcare regulations. The ideal candidate will thrive in a fast-paced environment, demonstrate strong leadership, and possess comprehensive experience in medical office management, billing, and staff supervision. Duties Oversee all clinic operations, including patient flow, appointment scheduling, and medical records management using EMR/EHR systems such as eClinicalWorks or Dentrix. Supervise healthcare staff, including administrative support, nursing personnel, and clinical teams, fostering a collaborative and efficient work environment. Manage fiscal responsibilities such as budgeting, medical billing, financial management, and ensuring compliance with health regulation policies like HIPAA and JCAHO standards. Coordinate human resources functions including hiring, training, performance evaluations, and managing staff schedules to optimize productivity. Ensure adherence to healthcare practice management protocols, including utilization management, managed care policies, and clinical compliance requirements. Maintain accurate medical records and oversee electronic health records (EHR) management while safeguarding patient confidentiality in accordance with HIPAA regulations. Implement quality improvement initiatives to enhance patient service delivery and operational efficiency. Requirements Proven experience in medical office management or healthcare practice management within a clinical setting such as dental clinics or hospitals. Strong supervisory skills with experience managing teams in a healthcare environment. Proficiency in EMR/EHR systems like Eaglesoft, eClinicalWorks, Dentrix or similar platforms; familiarity with patient management software is essential. Knowledge of health regulation policies including HIPAA compliance, JCAHO standards, and utilization management practices. Expertise in fiscal management including budgeting, financial reporting, and medical billing processes. Excellent managerial communication skills coupled with customer service excellence to support both staff and patients effectively. Background in nursing or acute/critical care experience is highly desirable for understanding clinical workflows. Ability to handle multiple priorities efficiently while maintaining attention to detail in a fast-paced environment. Competent in medical billing coding, insurance and medical assistant tasks.
