Job Summary:
Capital Imaging is seeking a highly organized, patient-focused Scheduling Supervisor to lead our scheduling and patient intake team. This individual will oversee the daily operations of the scheduling department, ensure exceptional customer service, maximize scheduling efficiency, and support operational goals through effective leadership and staff development. The ideal candidate will have previous healthcare scheduling experience, strong leadership skills, and the ability to manage a fast-paced outpatient imaging environment Essential Functions of a
Scheduling Supervisor:
Supervise the daily operations of the scheduling and patient intake team. Lead, coach, and develop scheduling staff to promote accountability, teamwork, and excellent customer service. Ensure patients are scheduled accurately based on physician orders, modality requirements, insurance guidelines, and clinical protocols. Monitor daily scheduling volumes and optimize appointment utilization to maximize access and reduce unused appointment slots. Work collaboratively with technologists, radiologists, physicians' offices, and center leadership to resolve scheduling issues promptly. Ensure prior authorizations, referrals, physician orders, and required documentation are obtained before appointments whenever possible. Monitor scheduling accuracy and registration quality while identifying opportunities for process improvement. Assist with staffing schedules, training, onboarding, coaching, and performance evaluations. Manage escalated patient concerns professionally while maintaining a positive patient experience. Maintain knowledge of imaging procedures, preparation instructions, and scheduling protocols for MRI, CT, Ultrasound, X-ray, Mammography, DEXA, PET/CT, and other modalities offered. Ensure compliance with HIPAA, company policies, and all regulatory requirements. Generate and review scheduling reports, productivity metrics, no-show rates, cancellation trends, and departmental performance indicators. Partner with Center Leadership to improve patient access, scheduling efficiency, and operational performance.
Education and Experience:
High school diploma or equivalent required. Associate's or Bachelor's degree preferred. Minimum of 3 years of healthcare scheduling, patient access, or medical office experience. Previous supervisory or leadership experience preferred. Experience in outpatient radiology or diagnostic imaging strongly preferred. Strong knowledge of medical terminology and insurance verification processes. Excellent communication, interpersonal, and conflict-resolution skills. Strong organizational skills with the ability to prioritize multiple responsibilities. Proficiency with electronic medical records (EMR), RIS/PACS systems, Microsoft Office, and scheduling software. Ability to work effectively in a fast-paced healthcare environment.
Physical Requirements:
Ability to sit, stand, and walk throughout the workday. Frequent use of computers, phones, and office equipment. Ability to occasionally lift up to 20 pounds.
