About the Position We are looking for a dependable, personable and highly organized Medical Receptionist / Patient Experience Coordinator to join our team. As the first point of contact for many of our patients, you will play an important role in both the patient experience and the day-to-day success of our practice. This is more than a traditional receptionist position. You will help manage the patient journey from beginning to end—including answering inquiries, coordinating schedules, checking patients in and out, educating patients about services and promotions, assisting with retail and memberships, and helping keep the practice running smoothly. The ideal candidate takes ownership of their responsibilities, communicates confidently, enjoys building relationships with patients and can be counted on to consistently work their scheduled shifts. What You'll Do Patient Experience Warmly greet and check in patients Provide a polished, welcoming experience from arrival through checkout Build genuine relationships with patients Help patients feel comfortable, informed and valued Maintain a clean, organized and inviting reception area Scheduling & Front Desk Operations Manage appointment scheduling, confirmations and rescheduling Answer incoming phone calls, texts and online inquiries promptly and professionally Help optimize provider schedules and minimize unnecessary gaps Coordinate patient flow throughout the day Process payments and maintain accurate patient information Assist with general front-office organization and daily operations Patient Communication & Follow-Up Educate patients about services, pricing and current promotions Help patients determine which appointment or consultation to schedule Complete patient follow-up communication Encourage appropriate rebooking and continued patient relationships Respond to prospective patient inquiries and help convert interest into appointments Memberships, Retail & Practice Growth Educate patients about memberships, treatment packages and skincare products Confidently discuss pricing and promotions Assist with converting consultations and inquiries into scheduled treatments Maintain attractive and organized retail displays Support practice promotions, special events and patient-engagement initiatives Team Support Communicate effectively with providers and other team members Help maintain smooth daily clinic operations Anticipate needs and take initiative Be willing to assist where needed as part of a small, collaborative team Who We're Looking For Our ideal candidate is: Dependable, punctual and committed to their scheduled hours Friendly, polished and professional Warm and comfortable building relationships with patients Highly organized and detail-oriented Able to multitask and prioritize in a busy environment Confident communicating in person, by phone and through text Comfortable discussing pricing, promotions, memberships and products Comfortable recommending services and encouraging rebooking Proactive and able to recognize what needs to be done without always being directed Comfortable learning scheduling software and other technology Positive, professional and team-oriented Previous experience in a med spa, medical office, dental office, wellness practice, hospitality, retail sales or another customer-facing environment is preferred. Schedule & Availability This is a part-time, in-person position requiring consistent and dependable availability .

7:30 AM-5:00 PM Actual hours may vary somewhat based on the patient and provider schedules. Applicants must have reliable availability for the days and hours they commit to. Consistent attendance and punctuality are essential to this position because this role provides primary front-desk coverage for our patients and clinical team.
