Manage incoming phone calls, emails, and inquiries, directing them appropriately. Coordinate conference room scheduling and ensure meeting spaces are prepared and presentable. Arrange catering, refreshments, and hospitality services for meetings and events. Maintain a polished and professional reception area at all timesAdministrative Support Provide administrative support to investment professionals and firm leadership. Manage calendars, meeting logistics, and travel arrangements as needed. Assist with preparing presentations, reports, and meeting materials. Support planning and execution of firm events, investor meetings, and team gatherings. Monitor office maintenance needs Ensure confidentiality of sensitive business information and communications. Investor & Executive Support Serve as a professional liaison between internal teams and external stakeholders. Coordinate logistics for investor meetings, board meetings, and executive visits. Assist with special projects and ad hoc administrative requests. Qualifications 0-2 years of experience in a receptionist, executive assistant, office coordinator, or similar administrative role. Experience in a professional services, financial services, investment, legal, consulting, or corporate environment preferred. Exceptional verbal and written communication skills. Strong organizational skills with the ability to manage multiple priorities. High level of professionalism, discretion, and attention to detail. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and video conferencing platforms. Ability to maintain confidentiality and handle sensitive information appropriately.
