VETERINARY PROGRAM SUPERVISOR

POSITION SUMMARY

Responsible for planning, organizing, and directing all day-to-day activities for HSVB's shelter medical program. The Veterinary Program Supervisor serves as an integral part of the medical team, possesses both strong business acumen and people management skills. Responsible for establishing daily processes for greater efficiency and facilitating improvements to help meet medical program goals. Duties include hiring, onboarding, mentoring and supervising non Veterinarian clinic staff, overseeing the use of practice software to ensure proper accounting and record-keeping of client records, animal records, and grant funds, and developing and updating processes. The Veterinary Program Supervisor is a strong communicator who thrives on building quality, collaborative teams. Key attributes include having a learning mindset, being solutions-oriented, maintaining humility, fostering positive and actionable feedback to staff, and will effectively coordinate with all other departments to provide essential support services. The Veterinary Program Supervisor reports directly to the Director of Operations and is a full time exempt position.

KEY RESPONSIBILITIES

• Maintain a working knowledge of significant developments and trends in animal welfare and shelter medicine.
• Plan, direct, organize, implement, and evaluate medical programs, services, activities, and procedures.
• Participate in campus rounds and provide frequent and clear communication to the Shelter Veterinarian, informing them of pertinent issues and challenges with the animal population.
• Oversees all aspects of hiring, training, evaluating, and performance counseling as necessary for the staff and volunteers in the clinic.
• Responsible for all training/onboarding for clinic staff other than the Veterinarian(s).
• Recommend new program ideas and opportunities that will promote the human-animal bond and quality of life for animal residents.
• Coordinate daily schedules to ensure coverage due to staff PTO, emergencies, etc.
• Ensure a clean, safe and organized environment for the public, staff, volunteers and animals within HSVB's care.
• Participate and provide oversight management of special projects such as spay and neuter clinics, microchip clinics, vaccination clinics, etc.
• Ensure humane care and proper medical attention is provided to all animals, including Fear Free restraint of animals, appropriate treatments, and exercise.
• Management and oversight of service for fee agreements such as S/N services for community partners and all other outsourced veterinary services including invoice oversight, and billing.
• Oversight and management of all licensing and permit needs required for the clinic including premise, DEA, veterinary licenses, as well as staff licensing.
• Maintain oversight of controlled/non-controlled drug inventory, ordering and ensure HSVB is adhering to procedures and laws.
• Maintain, track and approve invoices for the clinic.
• Assure maintenance of the medical database for all animals admitted to HSVB.
• Ensure accuracy and timeliness of data entry, in shelter database program.
• Manage overall supply inventory including purchasing for areas of responsibility.
• Communicate effectively and professionally with co-workers, management, volunteers, and the public at all times. Assist in resolving guest grievances.
• Create a climate in which staff is motivated and empowered to perform at peak levels.
• Maintains good working relationships with other veterinary and animal welfare organizations, adoption partners, government agencies and community groups and organizations as needed.
• Manage and participate in a wide variety of activities including ensuring proper safety programs and procedures are in place and followed to protect the wellbeing of the staff, the public, and the animals.

Minimum Job Requirements:

• Bachelor's Degree or equivalent experience required
• Florida CVT preferred but not required
• Experience with Microsoft Office, Avimark, and PetPoint software a plus.
• Must be 18 years of age or older
• Able to lift and carrying 50 lbs. for a moderate distance
• Excellent organizational and time management skills
• Strong communication skills with the ability to communicate to diverse audiences
• Maturity and confidence in dealing with the public
• Availability to work weekends and evenings.

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is required to remain in a stationary position for extended periods, as well as move and traverse within the shelter facility for extended periods, reach with hands and arms, climb or balance, stoop, kneel, crouch or crawl. The employee is required to communicate, converse with, convey information to, express oneself, and exchange information with shelter staff and the general public. The employee must regularly move, transport, and position items weighing up to 10 pounds, frequently move, transport, and position items weighing up to 25 pounds, and occasionally move, transport, and position items weighing up to 50 pounds. The employee is continuously exposed to animals, animal waste, potentially harmful cleaning chemicals, high noise, and potentially hazardous conditions, including the risk of animal bites and working outdoors for extended periods during cold and extremely hot weather.
