Job Description

Are you an experienced leader who enjoys building strong teams, improving systems, and helping a growing practice succeed? Gregoire Orthodontics is seeking a Practice Manager to oversee the day-to-day operations of our Auburn and Yarmouth offices and help lead our team as we continue to grow. The Practice Manager works closely with the practice owner/orthodontist and is responsible for overseeing the daily operations, team, and financial performance of the practice. This is a hands-on leadership position for someone who can effectively manage people while also developing and maintaining the systems necessary for an efficient, successful orthodontic practice.
Key responsibilities include:
Leading, supporting, and developing a team of approximately 9-12 employees Recruiting, interviewing, onboarding, training, and retaining high-quality team members Managing employee performance, scheduling, time-off requests, and day-to-day personnel matters Monitoring patient flow and staffing to maximize efficiency, productivity, and the patient experience Overseeing practice operations and ensuring established systems, policies, and procedures are consistently followed Monitoring financial performance, operational reports, budgets, expenses, collections, and key practice metrics Identifying opportunities to improve efficiency, control costs, and strengthen practice systems Working closely with the practice owner to establish goals and implement the strategic vision of the practice Overseeing facilities, supplies, technology, practice management systems, and regulatory compliance Supporting marketing, community outreach, patient retention, and new patient acquisition efforts Monitoring patient satisfaction and assisting with the resolution of patient concerns Leading team and departmental meetings and promoting clear, respectful communication throughout the practice Qualifications Minimum of 3-5 years of experience in a medical or dental office setting Management experience in a medical or dental practice preferred Bachelor's degree preferred; comparable management experience may be considered Proven ability to lead, motivate, develop, and hold team members accountable Strong organizational and time-management skills with the ability to manage multiple priorities Excellent written and verbal communication skills Strong judgment, problem-solving, and decision-making abilities Comfortable reviewing financial reports, budgets, productivity metrics, and practice performance Proficiency with practice management and business software; orthodontic or dental software experience is a plus Knowledge of dental/orthodontic billing and insurance is a plus Ability to maintain confidentiality and ensure compliance with HIPAA, OSHA, and practice policies Professional, dependable, collaborative, and comfortable working in a fast-paced environment We are looking for someone who doesn't simply manage the schedule, but who takes ownership of the overall success of the practice, develops the people around them, solves problems proactively, and helps turn the owner's vision into effective day-to-day operations.
