Rheumatology Practice Manager

Job Description

Position Summary The Rheumatology Practice Manager is responsible for the overall administrative, and operation of a growing rheumatology practice at two locations. This role ensures efficient daily operations, exceptional patient experiences, regulatory compliance, and achievement of organizational goals. The Practice Manager partners closely with physicians and clinical staff to optimize workflow, improve patient access, manage staff performance, and maintain financial health. Essential Responsibilities Oversee day-to-day operations of the rheumatology practice. Develop and implement policies and procedures to improve efficiency and patient satisfaction. Monitor patient scheduling, appointment access, and clinic flow. Coordinate maintenance of facilities, equipment, and supplies. Manage vendor relationships and negotiate service contracts. Staff Leadership Recruit, hire, onboard, train, and retain administrative and clinical support staff. Supervise front office, billing, medical assistants, infusion staff, and other non-provider personnel. Conduct performance evaluations and provide coaching and professional development. Develop work schedules and ensure appropriate staffing levels. Foster a positive, collaborative, and patient-centered workplace culture. Regulatory Compliance Ensure compliance with HIPAA, OSHA, CMS, Medicare, Medicaid, and applicable state regulations. Maintain accreditation and quality standards. Oversee risk management and quality improvement initiatives. Coordinate compliance training for staff. Clinical Operations Support Collaborate with physicians to optimize clinic workflows. Support infusion center operations, including staffing, scheduling, and inventory management. Assist with prior authorizations for biologics and specialty medications. Monitor medication inventory and specialty pharmacy coordination. Improve patient access and reduce appointment wait times. Patient Experience Address patient concerns and resolve service issues professionally. Monitor patient satisfaction metrics. Implement initiatives to improve communication and overall patient experience. Strategic Planning Assist physicians with practice growth initiatives. Evaluate opportunities for service expansion. Implement operational improvements using data-driven decision-making. Support implementation and optimization of electronic health records (EHR) and practice management systems. Qualifications Bachelor's degree in Healthcare Administration, Business Administration, Nursing, or related field required. Master's degree (MHA, MBA, or related field) preferred. Experience 5+ years of healthcare management experience. 3+ years managing a physician practice preferred. Rheumatology, internal medicine, or specialty practice experience strongly preferred. Experience managing infusion services is highly desirable. Knowledge of medical billing, coding, and revenue cycle management is a plus Required Skills Strong leadership and team management abilities Excellent communication and interpersonal skills Financial analysis and budgeting experience Knowledge of healthcare regulations and compliance Proficiency with EHR and practice management software Problem-solving and conflict resolution skills Strong organizational and project management abilities Ability to analyze operational data and implement improvements Preferred Knowledge Prior authorization processes for biologic therapies Specialty pharmacy coordination Infusion center operations Rheumatology medications and treatment pathways Value-based care initiatives Quality reporting programs (MIPS, MACRA) Compensation and Benefits Compensation is competitive and commensurate with experience.
