BEHAVIORAL HEALTH MEDICAL RECORDS SPECIALIST POSITION OBJECTIVES
The Behavioral Health Medical Records Specialist is a member of the front desk team (Patient Experience Navigators) and works closely with internal staff and external entities. This position is responsible for documenting, evaluating, and processing requests for Protected Health Information (PHI) while ensuring full compliance with state and federal regulations, including HIPAA and 42CFR part 2. The specialist receives, reviews, and incorporates administrative documents into the electronic health record (EHR), audits records for accuracy and completeness, and assists Patient Experience Navigators with both back-office and customer-facing responsibilities as assigned.
ESSENTIAL FUNCTIONS 1.
Ensure quality internal and external customer care and service 2. Demonstrate proficiency in the telephone system, telephone etiquette, and the computer system 3. Document, evaluate, and process requests for Protected Health Information (PHI). 4. Review, categorize, and incorporate both internal and external documents into the health record 5. Audit health records for accuracy and communicate chart deficiencies to the appropriate staff member. 6. Perform follow-up to ensure deficiencies are corrected. 7. Respond to all correspondence in a timely manner 8. Assist staff members and patients with consents, records releases, and release of information forms and questions. 9. Follow all applicable state and federal regulations related to PHI 10. Follow all applicable state and federal regulations related to
HIPAA 11.
Follow all applicable state and federal regulations related to 42CFR part 2 12. Report breaches and instances of non-compliance to supervisor 13. Proficient in reading/understanding patient eligibility and financial note boxes for collection of patient fees. 14. Assist with central scheduling as needed. 15. Assist with Medicaid verification process 16. Must be flexible/cooperative in changes of work schedule, location and available for overtime as requested by the supervisor 17. Cross-training required for Patient Experience Navigators Duties and providing back-up as assigned 18. Must not engage in behaviors that erode the cohesiveness of the program staff 19. Perform special projects and other agency-related assignments as requested 20. Must be able to sit and stand for an extended period and be able to lift up to 25 pounds 21. Must have excellent time management skills 22. Other duties as assigned by management.
EMPLOYMENT STANDARDS 1.
Must be eligible through DCF and AHCA with Level II Background checks throughout employment. 2. QUALIFICATIONS EDUCATION/EXPERIENCE/ CERTIFICATION/LICENSURE
High school diploma or equivalent. Student in an Accredited Medical Record Technology Program Preferred. Six months experience in working with Medical records SKILLS Ability to communicate in English and to read and understand written English at the High School level. Must possess accurate typing (40wpm), medical terminology and health care law knowledge, and good oral and written communication skills. Ability to operate a personal computer system with experience in query functions. Ability to recognize and respond to emergencies and life-threatening situations properly. Ability to work in a fast-paced environment. Strong customer service and organizational skills. Must be able to perform assigned work independently with minimal supervision
