We are seeking a dependable, organized, and personable Front Office Medical Receptionist to join our team. Position Overview The Front Office Medical Receptionist is responsible for supporting the day-to-day administrative operations of the Crestline Primary Care Clinic and serving as one of the primary points of contact for patients, families, providers, and healthcare partners. This role includes patient reception, appointment scheduling, registration, telephone communication, insurance information collection and verification, medical records support, and coordination of front-office workflows. The successful candidate is professional, highly organized, comfortable working in a busy medical office, and able to balance excellent patient service with accuracy and efficiency. They understand that every phone call, appointment, message, and patient interaction contributes to the overall quality of the patient experience. Key Responsibilities Patient Reception and Front Desk Operations Welcome patients, families, visitors, and healthcare partners in a professional and courteous manner Manage patient check-in and check-out processes Verify patient demographic and contact information Ensure required forms and documentation are completed and properly maintained Maintain an organized, professional, and welcoming front office environment Respond to patient questions and direct clinical concerns to the appropriate member of the healthcare team Maintain awareness of daily provider schedules and patient flow Help minimize unnecessary delays and keep patients informed when schedule changes occur Collect applicable patient payments and provide appropriate documentation as assigned Protect patient privacy and maintain appropriate confidentiality at all times Scheduling and Patient Access Schedule new patient, follow-up, annual, and other Primary Care appointments Coordinate appointment availability with provider schedules Confirm appointments and assist patients with rescheduling or cancellations Maintain accurate appointment information within the scheduling system Identify scheduling conflicts and work proactively to resolve them Communicate appointment instructions and relevant non-clinical information clearly to patients and families Maintain and manage waitlists when appropriate Help ensure patients receive timely access to care Document cancellations, no-shows, and scheduling changes accurately Coordinate with clinical staff when appointment needs require additional review Help maintain an efficient daily clinic schedule and patient flow Telephone and Patient Communication Answer incoming telephone calls professionally and promptly Route calls and messages to the appropriate department or team member Document patient messages accurately and with sufficient detail Identify urgent or clinical concerns and promptly escalate them to the appropriate clinical team member Return assigned calls and administrative messages within established timeframes Assist patients and families with general questions regarding appointments, clinic processes, and available services Provide clear directions and office information to new and existing patients Maintain professional and compassionate communication with patients and caregivers Help ensure messages do not remain unresolved and appropriate follow-up occurs Patient Registration and Insurance Information Register new patients accurately within the electronic health record Verify and update patient demographic information Collect and accurately enter insurance information Obtain copies of identification, insurance cards, and other required documentation Verify insurance eligibility and benefits as assigned Identify incomplete or missing registration information and follow up as appropriate Communicate administrative and insurance requirements clearly to patients Escalate insurance, eligibility, or authorization concerns to the appropriate team member when additional assistance is needed Help ensure patient information is complete before scheduled appointments whenever possible Medical Records and Documentation Maintain accurate patient information within the electronic health record Scan, upload, organize, and appropriately index incoming patient documents Assist with requests for outside medical records Process incoming medical records and route information to the appropriate clinical team member Assist with authorized medical record requests in accordance with established procedures Maintain organized electronic and physical records when applicable Process incoming faxes and clinical correspondence Ensure documentation is handled securely and confidentially Identify incomplete administrative documentation and work toward timely resolution Administrative and Clinical Team Support Provide administrative support to physicians, advanced practice providers, Medical Assistants, and other clinic staff as needed Communicate scheduling changes and patient updates to appropriate team members Assist with coordinating paperwork, forms, correspondence, and other administrative requests Help maintain efficient communication between the front office and clinical teams Monitor assigned administrative tasks and ensure appropriate follow-through Assist with faxing, scanning, document preparation, and other office responsibilities Help identify workflow issues affecting patient access, provider schedules, or clinic efficiency Support clinic projects and operational needs as assigned Work collaboratively with the clinical team to maintain an efficient and positive patient experience Clinic Operations and Organization Maintain an organized front desk, waiting room, and reception area Monitor office supplies and communicate replenishment needs Process incoming mail, faxes, documents, and other correspondence Ensure information is routed promptly to the appropriate team member Follow established clinic opening and closing procedures when assigned Maintain awareness of clinic priorities throughout the workday Support efficient patient flow from check-in through check-out Help maintain a clean, professional, and welcoming clinic environment Work collaboratively with administrative and clinical team members to resolve day-to-day operational issues Compliance and Professionalism Maintain patient confidentiality and comply with HIPAA requirements Follow Optima Health policies, procedures, and established clinic workflows Maintain appropriate professional boundaries with patients and families Handle sensitive patient and financial information carefully and discreetly Maintain dependable attendance and punctuality Communicate professionally with patients, providers, coworkers, and outside healthcare organizations Represent Optima Health and the Crestline Primary Care Clinic with professionalism, compassion, integrity, and responsiveness Qualifications Required Previous experience in a medical office, healthcare setting, customer service environment, or administrative role Excellent verbal and written communication skills Strong customer service and interpersonal skills Strong organizational and time-management abilities Excellent attention to detail and commitment to accuracy Ability to manage multiple tasks and priorities in a busy clinic environment Professional telephone etiquette Comfortable working with computers, electronic health records, scheduling systems, and office technology Ability to maintain patient confidentiality and handle sensitive information appropriately Ability to work independently while remaining highly collaborative with the clinical and administrative team Dependable attendance, professionalism, and follow-through Preferred Medical Assistant certification 1+ years of front office experience in a Primary Care or medical practice Experience with electronic health records and medical scheduling systems Experience with patient registration, insurance verification, and eligibility Familiarity with Medicare, Medicare Advantage, and commercial insurance Knowledge of basic medical terminology Experience in Primary Care, family medicine, internal medicine, geriatrics, or a similar outpatient setting Experience communicating with patients, caregivers, and family members
