Full Job Description Summary:
The main role of the Client Liaison is to help keep communication clear and organized between pet parents, doctors, hospital staff, and referring veterinarians. The Client Liaison should be able to perform all duties outlined in the CSR job description and provide support to CSRs and other front office team members as needed. Client Liaisons work closely with doctors, reception, and the nursing team to make sure admits, discharges, and appointments are prepared in advance, accurate, and organized. They also review and audit patient service and treatment charges to help make sure services provided are accurately reflected in the patient's record and charges. This role requires strong communication skills, professionalism, accuracy, attention to detail, and the ability to work well with different teams across the hospital. A Client Liaison must possess a strong ability to prioritize tasks.

Knowledge :
Must be proficient in all aspects of current Electronic Medical Records system (EMR) Must meet all skill requirements of a Level 3 CSR and understand all front office procedures Must be proficient in utilizing phone system Must have some basic knowledge of veterinary medicine Responsibilities (including but not limited to: ) Facilitating communication between clients, Doctors (both internal and referring) and all other staff. Maintenance of assigned department schedule(s) including creation of appointments and reschedules Managing department sympathy cards and making sure they are mailed within one week of the patients passing Obtaining and organizing medical records Answering incoming phone calls Relaying of test results to clients if requested by Doctor Checking charges for hospital patients and department discharges Assistance with creating estimates for procedures Obtaining deposits as needed Updating owners and referring Veterinarians on patient status, obtaining photos if requested Maintaining a strong relationship with referring Veterinarians and their hospital staff Making sure all medications and discharge instructions are ready 2 hours prior to patient departure Preparation of department admission paperwork, including online consent forms 2 days prior to scheduled drop off date. Promote goodwill and represent both the specialty services and NorthStar VETS with professionalism and pride. Respond to all communication with clients, staff and referring veterinarians including voicemails and emails in a timely manner. Support Client Experience and service needs by providing relief coverage for Client Experience Representatives as needed to support hospital operations.

Job Environment :
The work environment is fast-paced and requires strong multi-tasking abilities. Client Liaisons spend a significant portion of their time at a workstation utilizing the computer and phone, which may occasionally result in muscle strain or eye fatigue. The workspace is a communal area with high foot traffic, requiring focus and adaptability. This role also demands strict adherence to deadlines and a high level of accuracy and attention to detail in all data entry tasks.
Education:
High school diploma required, Bachelor's Degree preferred. Minimum of 3 years veterinary experience and a level 3 CSR skillset equivalency.

Ability to sit, stand, and move about the front desk area for extended periods of time
Ability to use a computer, phone, and other office equipment with repetitive hand and wrist movements
Ability to communicate clearly and effectively in person and over the telephone
Ability to occasionally lift, carry, or move items such as files, mail, or packages weighing up to approximately 25 pounds
Ability to bend, reach, stoop, and stretch as needed to perform job duties
Ability to work in a fast-paced environment with frequent interruptions
