Position Overview We are seeking a fast-learning, highly organized Procedures and Test Kit Associate with a passion for healthcare and wellness to join our team. In this role, you will own the end-to-end logistics of our functional medicine lab operations—ordering, prepping, and processing specialty test kits, managing vendor accounts, coordinating complex patient lab schedules, and educating clinic staff on new diagnostic testing. You will work closely with our nursing and clinical teams to provide timely, accurate, and compassionate support, handling complex collection logistics while keeping patient health as the top priority.

Key Responsibilities Specimen Processing & Kit Management:

Order, assemble, prep, and process specialty lab kits. Collect, handle, and prepare specimens (blood, urine, stool, saliva, hair) for shipment according to protocol. Perform blood draws/phlebotomy as needed.

Staff Training & Test Education:

Lead internal educational initiatives for clinicians, nurses, and staff on newly incorporated diagnostic tests, collection requirements, patient prep protocols, and sample handling specifications.

Logistics & Inventory Control:

Coordinate shipping logistics including pick-ups and drop-offs across multiple carriers (FedEx, UPS, specialized couriers). Track inventory levels of all testing kits and clinical supplies, reordering proactively to prevent shortages.

Vendor & Account Management:

Serve as the primary point of contact for external diagnostic lab companies. Manage clinical accounts, troubleshoot billing/kit discrepancies, and resolve issues regarding delayed or compromised lab results.

Scheduling & Clinical Coordination:

Own the daily schedule for patient lab work and test kit draws. Coordinate closely with the nursing team to align schedules for patients requiring comprehensive lab draws and complex collection protocols.

EMR & Results Administration:

Daily monitoring of lab portals to pull incoming test results, upload reports directly into patient Electronic Medical Records (EMR), and flag completed reports for provider review.

Technical Experience:

Direct experience using an Electronic Medical Record (EMR) system.

Clinical Skills:

Certified Phlebotomy Technician (CPT), Medical Assistant (MA), or proven experience with venipuncture/blood draws preferred.

Pay:

$26.00 - $30.00 per hour Expected hours: 40.0 per week
